Job Description

Position Summary The Administrative & Business Coordinator plays a critical role in supporting the day-to-day operations of Maple Valley Cooperative. This position combines administrative support, basic accounting responsibilities, marketing coordination, and executive assistance into one dynamic role. The ideal candidate is highly organized, detail-oriented, adaptable, and enjoys working in a collaborative environment where priorities shift and no two days are exactly alike. This individual serves as a trusted partner to leadership by maintaining organized financial records, supporting communication efforts, coordinating administrative functions, and helping ensure the organization operates efficiently. Success in this role requires professionalism, sound judgment, confidentiality, initiative, and the ability to manage multiple responsibilities with accuracy and a positive attitude. Key Responsibilities Accounting & Financial Administration
  • Prepare and distribute customer invoices accurately and in a timely manner.
  • Process accounts receivable and assist with accounts payable activities.
  • Perform routine data entry into accounting software and internal systems.
  • Reconcile bank accounts, credit card statements, and assigned general ledger accounts.
  • Maintain organized financial records and supporting documentation.
  • Assist with month-end reporting and provide documentation to external accounting partners as requested.
  • Monitor outstanding invoices and assist with collections and customer account inquiries.
  • Support budgeting and financial reporting by gathering and organizing information.
  • Maintain confidentiality of all financial and organizational information. Marketing & Communications
  • Assist in procuring and maintaining of digital assets and the digital asset management system.
  • Create and schedule engaging social media content consistent with the organization's brand and messaging.
  • Assist with planning, organizing, and executing brand presence at trade shows, events, and conferences.
  • Update marketing content creation and assist with digital communications as needed.
  • Coordinate marketing materials with internal staff and outside vendors.
  • Support the creation and dissemination of internal communications, external email marketing, sales and marketing materials, and community outreach efforts. Administrative & Executive Support
  • Provide administrative support to the President and leadership team.
  • Coordinate meetings, calendars, travel arrangements, and organizational events.
  • Prepare agendas, meeting materials, presentations, and supporting documentation.
  • Record, organize, and maintain Board meeting minutes and official organizational records.
  • Assist with Board communications and meeting logistics.
  • Manage office supplies, vendor relationships, purchasing activities, and inventory by maintaining accurate stock levels, identifying shortages, and coordinating the timely replenishment of materials and supplies.
  • Coordinate contracts, subscriptions, licenses, and organizational records.
  • Answer phones, greet visitors, and provide exceptional customer service to internal and external stakeholders.
  • Support special projects and organizational initiatives as assigned. Additional Responsibilities

  • Perform other duties and special projects as assigned. Required Qualifications
  • Associate's degree in Business, Accounting, Marketing, Administrative Professional studies, or a related field, or equivalent combination of education and experience.
  • Two or more years of experience in an administrative, accounting, office management, or business support role.
  • Demonstrated ability to communicate effectively and build positive working relationships with individuals possessing diverse personalities, communication styles, and professional backgrounds.
  • Strong technology aptitude with experience using accounting software, collaboration tools, and digital communication platforms.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities while maintaining accuracy and professionalism.
  • Demonstrated ability to maintain confidentiality and exercise sound judgment. Preferred Qualifications
  • Experience with accounting software such as QuickBooks or similar financial systems.
  • Experience managing business social media platforms and creating digital content.
  • Experience supporting leadership teams or Boards of Directors.
  • Experience working in a small business, nonprofit, cooperative, or entrepreneurial environment.
  • Experience with QuickBooks, Canva, MailChimp, Hootsuite and other marketing and social media management tools.
Pay:
$24.00 - $29.00 per hour
