We are seeking an experienced Credit & Collections Specialist to manage the credit and collections processes for H&B Engineered Products and John F. Scanlan. Based out of the H&B office in Beltsville, MD, this individual will be responsible for managing customer credit risk, monitoring accounts receivable, driving collection efforts, and helping protect the companies' financial interests. The ideal candidate will have previous credit and collections experience within the construction, HVAC, mechanical, or related industry and a strong understanding of construction lien and bond rights, particularly in Maryland, Virginia, and Pennsylvania. This role will work closely with Accounting, Sales, Operations, and company leadership to resolve outstanding balances while maintaining strong customer relationships.
Key Responsibilities:
Manage credit and collection activities for both H&B Engineered Products and John F. Scanlan. Monitor accounts receivable aging and proactively contact customers regarding past-due balances. Develop and maintain collection priorities based on aging, account exposure, customer history, and business risk. Document collection activity, customer commitments, and promised payment dates and follow up on missed commitments. Review new and existing customers for creditworthiness and recommend appropriate credit limits and payment terms. Obtain and review credit applications, references, and supporting documentation for new or expanded customer relationships. Monitor customers approaching or exceeding established credit limits and recommend credit holds when appropriate. Negotiate approved payment arrangements and escalate significant delinquent accounts to management. Maintain knowledge of mechanic's lien and bond rights and requirements, particularly within Maryland, Virginia, and Pennsylvania. Prepare, coordinate, and/or file construction liens, lien notices, bond claims, and related documentation within required deadlines. Utilize job information sheets and project documentation to protect lien and bond rights and support collection efforts. Monitor credit exposure on major construction projects and customer accounts. Research disputed invoices and coordinate with Accounting, Sales, and Operations to resolve billing or payment issues. Coordinate with Sales and Operations before implementing credit restrictions that could impact active projects or customer relationships. Identify potentially uncollectible balances and prepare documentation and recommendations for bad debt reserves and write-offs. Provide weekly and monthly aging, collections, and credit-risk reporting to management. Identify customers whose financial condition may create risk on large equipment orders or active projects. Escalate significant credit and collection concerns before they create financial or operational issues. Maintain accurate and organized records related to customer credit, collections, liens, bonds, disputes, and payment arrangements. Qualifications 3+ years of credit and collections experience, preferably within construction, HVAC, mechanical contracting, building products, distribution, or a related industry. Previous experience managing commercial or construction-related accounts receivable and collections strongly preferred. Working knowledge of mechanic's liens, bond claims, lien waivers, and construction credit requirements. Experience filing or coordinating construction liens and/or claims against payment bonds strongly preferred. Knowledge of lien and bond requirements in Maryland, Virginia, and Pennsylvania is highly preferred. Experience reviewing customer creditworthiness and recommending credit limits and payment terms. Strong understanding of accounts receivable aging, collections practices, credit risk, and bad debt management. Ability to manage multiple accounts, projects, deadlines, and collection priorities simultaneously. Strong written and verbal communication skills with the ability to have professional but firm collection conversations. Strong attention to detail, organization, and follow-through, particularly when managing legal filing deadlines and documentation. Ability to collaborate effectively with Accounting, Sales, Operations, customers, and company leadership. Comfortable independently managing collection priorities while knowing when to escalate significant credit risks. Proficiency with Microsoft Office, particularly Excel, and experience working with accounting/ERP systems. High school diploma or equivalent required; associate's or bachelor's degree in Accounting, Finance, Business, or a related field preferred.
