Collection Specialist Position Summary We are seeking a detail-oriented Collection Specialist to manage outstanding accounts receivable, resolve payment issues, and support timely customer payments. The ideal candidate has strong communication and organizational skills, experience reviewing account balances, and the ability to collect past-due payments while maintaining positive customer relationships. Key Responsibilities Review accounts receivable aging reports and prioritize collection efforts. Contact customers by phone and email regarding overdue invoices and payment commitments. Investigate and resolve billing discrepancies, short payments, disputed charges, and unapplied payments. Work with billing, sales, and project teams to obtain documentation and resolve issues delaying payment. Review invoices, purchase orders, contracts, and payment terms to verify amounts due. Arrange payment plans within company guidelines and monitor compliance. Maintain accurate records of collection activity, customer communications, and promised payment dates. Prepare and send account statements, invoice copies, and collection correspondence. Identify accounts requiring escalation and recommend credit holds or further action to management. Report collection progress, overdue balances, and potential payment risks. Follow company policies and applicable collection requirements while protecting confidential customer information. Qualifications High school diploma or equivalent required; associate degree in accounting, finance, or business preferred. Two or more years of experience in collections, accounts receivable, or a related accounting role preferred. Understanding of invoicing, payment terms, account reconciliation, and aging reports. Proficiency in Microsoft Excel and accounting or enterprise resource planning (ERP) software. Strong communication and problem-solving skills. Ability to manage multiple accounts, prioritize follow-up, and meet deadlines. Professional judgment and a customer-focused approach when handling difficult conversations. Preferred Experience Business-to-business collections and contract-based billing. Experience with progress or milestone billing, pay applications, schedules of values, and retainage. Familiarity with customer payment portals and invoice submission requirements.
