Job Description
We are a full service restoration and reconstruction contractor with an immediate opening for an Office Assistant. We are looking for someone with high energy, positive attitude, and is highly motivated. This individual will work closely with Mitigation and the Reconstruction team, and Sub-contractors on a daily basis. Construction knowledge, and Mitigation is preferred.
Position Overview:
This Administrator has responsibilities for assisting in Mitigation, Re-Construction, and Operations. This entails overseeing and assisting with all clerical duties, collections, and as well as providing some leadership responsibilities as needed. The Administrator will work closely with Project Managers, and Management in fiscal responsibilities as well as the everyday operations. This position will require at least 4 years working history in an office administer position.Job Responsibilities:
- Assist with job tracking and site personnel, provide updates, job information, and inputting
- Data entry into Job Nimbus, Quick Books and Scheduling
- Collection responsibilities in both Mitigation and Rebuild
- Assist in collections and accounting inputs along with various other responsibilities
- Assist in scheduling, job walks, and inspection
- Manage incoming project emails, calls and correspondence
- Provide support to Project Manages, Office personnel and Management
- Working with both in-house workers and sub-contractors
- Providing customer service and notifying staff and subcontractors as required
- Ability to understand and read construction scopes, materials, and work
- Provide direction and some leadership
- Maintain fiscal and have sub-contractors maintain and stay with in budget
- Provide support for other task and jobs in the office
Requirements:
- Must have exceptional written and verbal skills in English, Spanish is a plus
- Proficient computer skills in Microsoft Office, Excel, Word, Adobe PDF, and Google Calendar
- Experience if the field of Construction is highly desirable
- Good work ethics and ability to work OT 1-2 hours through the week and occasionally weekends
- Ability to responds to customers and adapt in a fast pace operation
- Manage tasks through coordinating and ensuring tasks are meeting deadlines
- Maintain attention to detail and follow through
- Self-Motivated and proactive
- Must have reliable transportation
