The Insurance Coordinator manages all aspects of dental insurance processing, including verifying eligibility, explaining benefits, submitting claims, following up on outstanding payments, and maintaining accurate patient account records. This role ensures transparency for patients, supports treatment planning, and upholds financial efficiency for the clinic. The Insurance Coordinator works closely with dentists, hygienists, the Patient Care Coordinator, and the Director of Operations to ensure a seamless patient and billing experience. Essential Duties & Responsibilities Insurance Verification & Benefits Coordination Verify patient insurance eligibility, plan details, frequencies, limitations, and remaining benefits before appointments. Accurately input insurance information into the practice management system. Communicate benefits to patients clearly and ethically according to ADA guidelines. Request and document necessary insurance forms, histories, and breakdowns. Claims Management Prepare and submit accurate dental insurance claims daily. Ensure proper documentation, radiographs, periodontal charting, and narratives accompany claims. Track and monitor outstanding claims; follow up proactively on unpaid or rejected claims. Correct and resubmit denied claims, documenting all communication. Financial & Billing Responsibilities Post insurance payments accurately to patient accounts. Reconcile Explanation of Benefits (EOBs) and identify discrepancies. Notify the front office or patient care team of balances or billing issues needing follow-up. Calculate pre-estimates and support treatment coordinators during case acceptance discussions. Maintain an organized system of insurance reports, aging claims, and pending authorizations. Patient Communication & Support Provide clear explanations of coverage, copayments, deductibles, and out-of-pocket costs. Assist patients in understanding their financial responsibility with transparency and accuracy. Maintain professionalism and compassion when discussing billing or insurance concerns. Protect all patient financial and personal information according to HIPAA regulations. Administrative & Operational Support Coordinate pre-authorizations and pre-determinations as required. Maintain accurate patient records and update insurance details regularly. Communicate with insurance companies professionally regarding claims, benefits, and disputes. Participate in team meetings, Educational Wednesdays, and revenue-cycle improvement initiatives. Support front office workflow when needed, including phones and scheduling. Qualifications & Requirements High school diploma or GED required; additional dental or billing coursework preferred. Previous experience in dental insurance coordination or medical billing (preferred). Knowledge of ADA procedure codes (CDT), terminology, and insurance guidelines. Strong understanding of deductibles, downgrades, frequencies, history checks, waiting periods, and PPO structures. Proficiency with dental practice management software (e.g., Open Dental, Dental Intel, Overjet preferred). Excellent communication, organization, and problem-solving skills. Ability to handle confidential information in accordance with HIPAA standards. Detail-oriented, able to multitask in a fast-paced environment.
