Job Description
Position Overview We are seeking an experienced Construction Billing Supervisor to lead the construction billing function and supervise a team of three billing and job-entry professionals. This is a hands-on leadership position with primary responsibility for the full AIA billing cycle, including schedules of values, progress billing, change orders, retainage, lien waivers, and project closeout. The ideal candidate has strong construction billing experience, is comfortable preparing complex AIA pay applications, and has experience leading or supervising a billing or collections team. Key Qualifications 3+ years of construction billing experience Hands-on experience preparing AIA pay applications Experience supervising, leading, or formally training a billing/collections team Experience with schedules of values, percentage-of-completion billing, change orders, retainage, and project closeout Knowledge of lien waivers and construction lien requirements Experience with NetSuite preferred Strong Microsoft Excel skills Ability to manage multiple projects and billing deadlines simultaneously ResponsibilitiesAIA & Construction Billing Prepare, review, and submit AIA billing documents, including: G702 Application and Certificate for Payment G703 Continuation Sheet G701 Change Order G704 Certificate of Substantial Completion G706 and G706A Contractor's Affidavits G707 Consent of Surety Build and maintain schedules of values for construction projects. Calculate and bill percentage of completion, stored materials, approved change orders, and retainage. Track retainage balances and pursue release at project completion. Manage general contractor and owner billing deadlines, portals, and required documentation. Reconcile billed-to-date amounts against contract values and approved change orders. Review contracts and subcontracts for billing terms, payment requirements, retainage percentages, and required documentation. Team Leadership Supervise a team of three billing and job-entry professionals. Assign and prioritize daily and weekly work. Train and coach team members on billing processes, systems, lien waiver procedures, and customer service standards. Review team members' work for accuracy and completeness. Conduct performance check-ins and reviews. Manage team coverage to ensure billing deadlines are consistently met. Job Setup & NetSuite Oversee project and job setup in NetSuite . Maintain accurate contract values, schedules of values, billing terms, and customer records. Maintain accurate customer, contract, and project data. Identify recurring billing issues and implement process improvements. Recommend improvements to billing workflows, systems, and reporting. Lien Waivers & Compliance Oversee conditional and unconditional lien waivers. Ensure required construction notices and lien documents are completed within applicable deadlines. Support requirements across multiple states, including Michigan, Minnesota, Illinois, Indiana, North Dakota, and South Dakota. Maintain required documentation including certificates of insurance, W-9s, bonds, and subcontractor/vendor agreements. Maintain organized and auditable project billing files. Collections & Reporting Monitor accounts receivable aging for construction accounts. Assist with collection of past-due balances. Serve as a primary billing contact for general contractors, owners, and internal project managers. Resolve billing disputes and short payments. Prepare billing, unbilled WIP, retainage, and aging reports. Partner with project management, operations, and accounting during month-end close and WIP reviews. Required Qualifications 3+ years of construction billing experience, including AIA pay applications 1+ year of leadership, supervisory, or formal training experience Knowledge of schedules of values, percentage-of-completion billing, change orders, retainage, and project closeout Knowledge of lien waivers and construction lien requirements Proficiency with Microsoft Excel, Word, and Outlook Strong attention to detail Ability to manage multiple deadlines and priorities Strong written and verbal communication skills High school diploma or equivalent Preferred Qualifications NetSuite experience, particularly project/job costing and billing Associate or bachelor's degree in Accounting, Business Administration, Construction Management, or a related field Experience in fire protection, electrical, mechanical, or specialty trade contracting Experience with prevailing wage or certified payroll projects Experience with contractor payment portals such as Textura, GC Pay, or Procore Multi-state construction billing experience What We're Looking For We're looking for someone who understands construction billing from start to finish and can both do the work and lead the team .
