Job Description
We are looking for a Legal Billing Coordinator to join a law firm in Pittsburgh, Pennsylvania and play a key role in the day-to-day billing cycle. This position is ideal for someone with prior legal billing experience who can work closely with attorneys, internal staff, and clients to ensure accurate invoicing and timely follow-up. The role also contributes to retainer administration, new matter intake support, and other billing-related coordination as needed.
Responsibilities:
- Partner with attorneys, support staff, and clients to address invoice questions, payment concerns, and related billing matters.
- Create, revise, and finalize pre-bills and client invoices with a strong focus on accuracy and compliance with firm guidelines.
- Distribute invoices through electronic billing systems and traditional mail channels, ensuring submissions are completed on time.
- Manage billing activity within e-billing platforms such as TyMetrix 360, LegalX, Bottomline, Mitratech, and CounselLink.
- Apply retainer balances to client accounts and prepare related correspondence to document account activity.
- Assist with conflict review procedures and support the setup of new client matters and files.
- Maintain organized billing records and provide general administrative support tied to accounting and billing operations.
- Contribute to additional special projects and departmental tasks to support the firm's overall financial processes.
- At least 2 years of legal billing experience within a law firm setting.
- Practical knowledge of billing workflows, invoices, account balances, and core financial principles.
- Strong written and verbal communication skills for interacting with attorneys, staff, and clients.
- Excellent attention to detail with the ability to organize work accurately and efficiently.
- Proven ability to manage multiple assignments and meet deadlines in a fast-paced environment.
- Proficiency with Microsoft Word, Excel, and Outlook.
- Experience using legal e-billing tools and familiarity with ProLaw or similar billing software is preferred.
