About Us:
Louisiana Controls is a leading commercial HVAC, mechanical, and building automation company. We are a fast-growing, family-owned business that prides itself on executing high-level commercial projects and delivering top-tier service. We are looking for a highly organized and detail-oriented Billing Specialist & Service Coordinator to be a cornerstone addition to our back office, managing everything from parts procurement to final invoicing.Role Overview:
In this role, you will bridge our field technicians, vendors, and financial reporting. You will primarily manage our accounts receivable and the lifecycle of parts and equipment. From ordering/tracking/receiving to dispatching and invoicing, your role will be to ensure every completed job is accurately prepared, costed, and invoiced. You will work closely in a shared-office environment alongside our Client Success and Software Administrator. While you both have distinct core responsibilities, teamwork is essential. You will cross-train to support each other with phones, dispatching, and customer updates to ensure a seamless operation.Core Responsibilities:
Financials & Invoicing:
Build and process invoices for completed jobs. Completed jobs include quoted jobs, service calls, and maintenance agreements. Accurately enter all material and labor costs into ServiceTitan (our service software) and track overall job profitability prior to issuing the final invoice. Send timely invoices to customers and ensure receipt. Review job performance findings with administration as necessary/appropriate.Procurement & Logistics:
Issue purchase orders to field technicians as necessary throughout the day. Order and track parts for approved jobs and follow up regularly with vendors on lead times and ETAs. Promptly notify the scheduling and sales team of updates and when the parts arrive.Cross-Functional Collaboration:
Work alongside the Inside Sales team and Lead Project Foreman to order parts from approved estimates and procure materials for large-scale construction jobs.Warehouse & Inventory Management:
Clearly mark packages with corresponding job numbers and communicate arrivals to the scheduling team. Maintain and organize warehouse inventory levels.NO FORKLIFT OR HEAVY LIFTING SKILLS ARE NECESSARY FOR THIS JOB. ANY LARGE PACKAGES WILL BE RECEIVED BY OTHER PERSONNEL. THE ONLY SKILL NEEDED FOR THIS POSITION IS ORGANIZATIONAL TRACKING, MARKING, AND SOFTWARE UPDATES TO ENSURE THE JOB IS PROPERLY SCHEDULED AND ACCOUNTED FOR. Team Support & Dispatch (Shared Duties): Partner with the Client Success and Software Administrator to answer inbound customer calls, dispatch technicians via ServiceTitan, and proactively update customers on necessary rescheduling or delays. Evaluate customer requests/emergency service calls and prioritize urgency against jobs currently being performed. Communicate ideas and thoughts with other team members as necessary.On-Call Rotation:
Participate in a rotating weekend on-call schedule (approximately once every 5 weeks) to support emergency dispatching and coordination. On-call duties can be performed 100% remotely.What We Are Looking For:
Prior experience in back-office operations, purchasing/receiving, or logistics (HVAC, plumbing, or electrical industry experience is a plus). Strong financial literacy with a keen eye for job costing and profit margins. Familiarity with ServiceTitan (or similar field service management software) is preferred, but not mandatory. Strong organizational skills to ensure parts and jobs do not fall through the cracks. A team-first mentality with a willingness to overlap duties and help your coworkers succeed.Pay:
$60,000.00 - $65,000.00 per yearBenefits:
