As one of New Jersey's oldest and most successful law firms, we are dedicated to delivering the premier level of service that our clients have come to expect. We are currently seeking a detail-oriented individual to join our team as a Legal Billing Coordinator. In this role, you will be responsible for accurately preparing, reviewing, and processing billing invoices for legal services rendered by attorneys and legal staff. The ideal candidate will have a strong understanding of legal billing practices and procedures, exceptional attention to detail, and excellent communication skills. This position reports to our Finance Director and is based in our Woodbridge office. Wilentz also has offices Manhattan, Red Bank, N.J. and Philadelphia, PA. Billing Coordinator Duties and Responsibilities, including not limited to : Review and verify attorney time entries for accuracy and completeness Prepare and generate pre-bills, drafts and final invoices in accordance with client billing guidelines and deadlines Review and edit draft invoices for compliance with client billing requirements, including formatting, rates, and descriptions Logs worksheets for assigned attorneys Prepare invoices utilizing e-billing when necessary Obtain approvals for write-offs when necessary; enter write-offs when approved Generate reports and summaries related to billing, revenue, and accounts receivable as needed Respond to emails or telephone inquiries re payments or billing; researches and reconciles issues Resolve billing discrepancies and inquiries from clients in a timely and professional manner Collaborate with the accounting department to reconcile billing records and resolve any discrepancies General clerical work including filing, organizing and sorting bills and reports Assist with special billing projects and initiatives as assigned by management Act as backup for other billing, accounts receivables and trust accounting staff members Other responsibilities and duties as assigned
Qualifications/Requirements:
Previous experience in legal billing or accounting role preferred Proficiency in billing software and legal billing systems, preferably Aderant Strong understanding of billing processes, including hourly billing, alternative fee arrangements, and e-billing Microsoft Office Suite experience including intermediate knowledge of Excel Basic accounting knowledge Excellent attention to detail and accuracy in data entry and financial calculations Ability to prioritize tasks and meet deadlines in a fast-paced environment Professional and courteous demeanor Ability to maintain confidentiality and handle sensitive information with discretion Ability to work overtime if requested, especially at year end Ability to work onsite Monday through Friday, 9 - 5 pm with an hour lunch (35 hour work week) with the potential to eventually have 1 remote work day once trained and able to work independently If you are a Billing Coordinator who loves a challenge, understands the importance of providing the best client service possible, and is looking for a work environment that values work/life balance, we encourage you to apply for this role!
