The role pairs direct collection activity with ongoing analysis, identifying why balances age, resolving the disputes behind them, and following each item through to resolution rather than to first contact. The analyst is expected to explain any balance in the portfolio and recommend a course of action on accounts that are not paying. Portfolio Ownership & Analysis Own an assigned portfolio of Strategic customer accounts and franchise receivables; drive DSO, past-due percentage, and aged balances against measurable goals. Review the aging weekly and segment it by root cause — disputed, billing or documentation error, slow payer, or credit risk — and work each accordingly. Know the portfolio's largest exposures and be able to explain the payment outlook of any balance in it. Maintain a documented next action and expected date on every open item, so accounts move forward between contacts. Identify recurring causes of nonpayment and drive corrections upstream so the same balances do not recur. Report weekly on portfolio status, collection results, at-risk balances, and what is blocking payment. Collections & Dispute Resolution Work a daily collection worklist by phone and email, securing specific payment commitments and holding customers to them. Research and resolve customer deductions, short pays, pricing and PO discrepancies, and missing documentation. Audit customer AP and billing portals for invoice receipt, approval status, and scheduled payment dates. Obtain from franchise Manufacturing Centers the proofs of delivery, bills of lading, and purchase orders needed to release payment. Document every contact, commitment, and promise-to-pay in Acumatica so account history is complete and auditable. Follow the escalation cadence on missed commitments; recommend escalation, payment plan, or write-off with supporting analysis. Additional Responsibilities Assigned by the AR Manager; each analyst owns one or more and backs up others. Set up and verify new Strategic customer accounts, including bill-to and remit-to structure, ship-to mapping, and billing portal requirements. Determine whether products entered qualify for commission under the national sales program they are contracted to; maintain contracted pricing. Generate daily invoices, submit them through customer portals, and issue debit and credit memos. Support audit requests, maintain SOPs, and provide backup coverage across the team. Qualifications Required 3+ years of AR experience with demonstrated ownership of a commercial (B2B) portfolio and its results Ability to analyze an aging, identify root cause, and follow through to resolution Proven ability to resolve disputes, deductions, and short pays through to payment Working knowledge of and comfort using AI software and AI agents in daily work — analyzing aging data, researching discrepancies, and drafting correspondence Intermediate to advanced Excel (lookup formulas, pivot tables, preparing files for imports) Hands-on ERP experience required; Acumatica strongly preferred Experience working within third-party customer AP and billing portals Strong organizational skills to manage a portfolio and deadlines independently Discretion and confidentiality with customer and financial data Preferred Associate's or bachelor's degree in Accounting, Finance, or Business Experience in a franchise, multi-entity, or intercompany environment National or strategic account experience, including contract pricing Experience writing SOPs or supporting an ERP migration This description is not an exhaustive list of all duties.
