Job Description The Billing Specialist is responsible for managing the company's billing and invoicing process, ensuring invoices are prepared accurately and submitted on time. This position will work closely with the Accounting, Operations, and Dispatch departments to verify billing information, resolve discrepancies, and maintain accurate financial records. The ideal candidate will have strong experience in billing and invoicing, excellent attention to detail, and the ability to work independently in a fast-paced transportation environment. Key Responsibilities Prepare, review, and process customer invoices accurately and on time. Verify rates, loads, services, accessorial charges, fuel surcharges, and other billing information before invoices are submitted. Review transportation documents, including bills of lading, delivery receipts, rate confirmations, and other supporting documentation. Match invoices with transportation and customer records to ensure all charges are properly supported. Communicate with Operations, Dispatch, and other departments regarding billing issues. Follow up on rejected, disputed, or incomplete invoices and make the necessary corrections. Maintain organized and accurate billing records. Assist with accounts receivable activities and customer account inquiries when needed. Monitor outstanding invoices and provide support with payment follow-ups. Enter and update billing information in accounting or transportation management systems. Assist with month-end billing activities and account reconciliation. Maintain confidentiality of financial and customer information. Perform other accounting and administrative duties as assigned. Qualifications 2+ years of experience in billing, invoicing, accounts receivable, or a related accounting position. Previous experience in the transportation or logistics industry is preferred. Strong knowledge of billing and invoicing procedures. Experience reviewing transportation documents and customer billing requirements. Strong attention to detail and accuracy. Ability to identify discrepancies and resolve billing issues. Proficiency in QuickBooks Online and experience managing billing and financial transactions within the system. Proficiency in Microsoft Excel and other Microsoft Office applications. Experience with accounting or transportation management software is preferred. Strong organizational and time-management skills. Ability to manage multiple tasks and meet deadlines. Good written and verbal communication skills. Ability to work independently and as part of a team. Preferred Skills Experience with freight or transportation billing. Knowledge of accessorial charges, detention, layover, lumper, fuel surcharge, and other transportation-related charges. Experience with Accounts Receivable. Working knowledge of QuickBooks Online. Familiarity with accounting principles and financial documentation. Bilingual English/Spanish is a plus.
