Job Description

Bud Griffin Customer Support is seeking a motivated individual to join our Service Administration team. We operate in a fast-paced environment supporting customers with critical cooling and critical power equipment, where responsiveness, organization, and attention to detail are essential. The ideal candidate will be self-motivated, capable of managing multiple priorities simultaneously, and comfortable working independently while coordinating with customers, technicians, and internal team members. We are looking for someone who takes ownership of their responsibilities, adapts well to changing priorities, and is willing to do what is necessary to ensure our customers receive the level of service they expect.

•Daily Essential Functions

•Prepare, review, and process invoices for services accurately and timely. Verify billing against work orders, service tickets, purchase orders, contracts, rates, and other required documentation. Ensure customer-specific billing requirements, purchase order numbers, and supporting documents are complete prior to invoicing. Resolve incomplete or inaccurate billing information with service, dispatch, sales, technicians, or management. Submit invoices through customer portals, email, or other required billing systems and maintain accurate billing records. Monitor accounts receivable aging and follow up with customers regarding past-due balances, payment status, invoice discrepancies, missing purchase orders, or other payment delays. Provide invoice copies, statements, supporting documentation, credits, adjustments, and payment information as needed. Protect confidential customer, company, financial, and employee information. Maintain professional, courteous, and service-oriented communication with customers and coworkers.

•Occasional job duties

•Receive and process customer service requests by phone and email. Create, dispatch, and manage service orders for field technicians. Review completed service documentation and provide service tickets or other records to customers. Create purchase orders and process manufacturer service requests. Maintain fleet, customer, equipment, and service data within ERP/dispatch systems. Coordinate subcontractors and contracted service work. Certificate of insurance requests, and other customer administrative requirements. Provide backup support for service administration, special projects, and other duties assigned by service management.

•Experience

•Experience level: 3 years of experience in invoicing, billing, accounts receivable, or administrative accounting preferred Proficiency with Microsoft 365, including Outlook, Excel, Word, and Teams Working knowledge of Excel, including data entry, sorting, filtering, basic formulas, and spreadsheet organization Experience working with ERP, CRM, dispatch, accounting, or service management software preferred Strong data-entry skills with a high level of accuracy and attention to detail Experience reviewing and maintaining work orders, purchase orders, invoices, service documentation, and other business records Strong organizational and time-management skills with the ability to manage multiple priorities Ability to communicate professionally with customers, technicians, vendors, subcontractors, and coworkers Strong written and verbal communication skills Ability to handle customer inquiries and resolve routine administrative or documentation issues Experience maintaining electronic files, records, reports, and customer documentation Ability to work independently while supporting a service-oriented team environment Ability to handle confidential customer, employee, and company information appropriately Expected hours: Full-time 40 per week
