Job Description

KTEC Equipment and Supplies is seeking a detail-oriented, tech-savvy Data Entry Specialist to support our distribution operations. This position is responsible for entering, reviewing, and maintaining accurate product, customer, supplier, inventory, and order information across our business systems. The ideal candidate is comfortable working with ERP systems, spreadsheets, and AI tools such as ChatGPT, Claude, and Gemini. This role requires strong attention to detail, good judgment, and the ability to verify information rather than relying solely on automated outputs. Key Responsibilities Enter and maintain product, customer, supplier, pricing, and inventory information in the ERP system. Review purchase orders, sales orders, supplier documents, and product information for completeness and accuracy. Update product descriptions, part numbers, units of measure, lead times, pricing, and other records. Use Microsoft Excel to organize, clean, compare, and validate data. Use AI tools—including ChatGPT, Claude, and Gemini—to assist with research, data organization, product descriptions, and routine administrative tasks. Review and verify all AI-generated content before it is entered into company systems. Identify duplicate, missing, inconsistent, or inaccurate information and work with the appropriate department to resolve discrepancies. Maintain organized electronic records and follow established document-control procedures. Support purchasing, customer service, warehouse, quality, and e-commerce teams as needed. Protect confidential company, customer, and supplier information. Qualifications Previous data-entry, administrative, distribution, purchasing, inventory, or order-processing experience preferred. Experience using an ERP, inventory-management, or order-entry system. Proficiency with Microsoft Excel, Outlook, and other Microsoft Office applications. Familiarity with AI tools such as ChatGPT, Claude, or Gemini. Strong typing, proofreading, and data-verification skills. Excellent attention to detail and accuracy. Ability to manage repetitive tasks while maintaining consistent quality. Strong written communication and organizational skills. Ability to learn new systems and follow documented procedures. High school diploma or equivalent required. Preferred Experience Experience in aerospace, industrial, laboratory, chemical, or manufacturing distribution. Familiarity with product catalogs, manufacturer part numbers, certificates, SDS documents, and technical specifications. Experience with ERP platforms, e-commerce systems, or large product databases. Intermediate Excel skills, including sorting, filtering, formulas, and duplicate removal.
