The work environment includes Modern office setting Growth opportunities Experience with the latest technology What We Are Looking For We are seeking a detail-oriented Data Entry Specialist to manage, maintain, and help streamline our product and vendor data across systems. The ideal candidate blends high-precision data handling in Excel with basic scripting interest or experience (Python/SQL) to extract vendor data, build clean import templates, and process uploads into our ERP. As operational needs evolve, you will also have opportunities to take on new tasks and projects beyond the initial scope outlined below.
Key Responsibilities Data Processing & ERP Maintenance:
Process, clean, and format vendor pricelists and product data from varied sources (Excel, PDF files, vendor portals) for bulk upload into our ERP and database systems.
Product & Vendor Data Management:
Review, validate, and process routine requests to add, update, or modify product details and vendor records in the ERP.
Automation & Process Improvement:
Write and maintain basic Python scripts to streamline repetitive data prep tasks; document Standard Operating Procedures (SOPs).
Responsible AI & Workflow Optimization:
Thoughtfully leverage AI tools (e.g., ChatGPT, Claude) to assist with data formatting, basic scripting, and problem-solving while maintaining human-in-the-loop oversight for 100% data accuracy.
Data Integrity & Quality Assurance:
Build, update, and manage reusable template files for seamless data imports while checking outputs for duplicate SKUs, incorrect pricing, or mismatched info prior to uploading.
Progress Tracking & Basic Reporting:
Track the progress and backlog of pricelists to process, and generate quick, simple summary reports or data lookups directly from the ERP or Excel as requested to support internal team needs.
Cross-Functional Support:
Provide daily operational support to sales, operations, and IT teams to resolve data-related issues or inquiries.
Adaptability & Continuous Growth:
Perform other duties, special projects, or evolving tasks as required to support business growth and team priorities.
Qualifications & Technical Skills Advanced Excel:
Proficiency in XLOOKUP/VLOOKUP, CONCAT, Pivot Tables, conditional logic, sorting/filtering, and formatting.
Basic Scripting & Data Querying:
Familiarity with basic Python for simple automation tasks and foundational SQL for database querying.
Core Problem Solving:
Strong logical thinking skills with high attention to detail to research, check, and troubleshoot data issues independently.
Communication & Execution:
Strong written and verbal communication skills to coordinate across internal departments and document processes clearly. Nice-to-Haves Understanding of basic business concepts (e.g., margins, cost vs. list price, unit of measure conversions, and SKU relationships). Familiarity with basic database concepts and data warehouses. Prior experience with NetSuite or similar ERP platforms. Experience with Shopify and Matrixify for e-commerce data syncs. Practical exposure to basic web scraping, data tools, or JIRA. Interest in Data Analytics. Work Hours Monday to Friday 7 am - 4 pm
