Job Description

The Builders Data Specialist plays a crucial role in supporting the Builders Account Department by managing and streamlining data and documentation processes. This position is responsible for creating and rescheduling jobs in Service Fusion, generating detailed reports, and managing documentation and inventory for garage door and opener installations.

The ideal candidate must be highly organized, detail-oriented, and capable of executing approximately 90% of the Manager's responsibilities to ensure smooth operations, accuracy, and efficiency. Duties and Responsibilities 1. Job Creation & Scheduling Create, reschedule, and update jobs in Service Fusion pulling from multiple builder portals and sources:

K. Hovnanian Homes, LGI Homes, Colina Homes, Taylor Morrison, Coventry Homes, Perry Homes, CitySide Homes (BAM agreement)

Long Lake, Stoneworks Buildertrend:
Alta Homes Pull the weekly Wednesday purchasing report from Supply Pro to log future jobs. 2. Data Accuracy & Integrity Ensure all job records have complete details including technician notes, photos, line items, and accurate addresses. Maintain the correct operational status for every job (e.g., Confirmed, Dispatched). Match and sync data continuously between Service Fusion and various builder software networks. 3. Job Lifecycle Management Monitor and confirm job completions for single-family builders. Manage status transitions (e.g., changing non-confirmed jobs to dispatched status). Confirm schedule adjustments directly with builders via email, phone, or text. Prepare and distribute daily Day Sheets to the Northside team. Attend office meetings and present progress updates on builder-related tasks. 4. Invoicing & Billing Process invoices for completed single-family builder jobs directly through Service Fusion. Verify address accuracy and correct line items before submitting invoices. Mail physical invoices for Long Lake . Email digital invoices for Alta Homes , Stoneworks , and Baron Group . 5. Inventory & Documentation Control Manage material returns from subcontractors related to installation work. Complete all mandatory return documentation including dates, subcontractor names, and stock details. Job Requirements & Qualifications Proven experience managing scheduling or data entry across multiple software portals. High proficiency with Service Fusion or similar field service management software. Prior experience working with builder portals ( Supply Pro , Vendor Suite , Buildertrend ) is highly preferred. Strong communication skills for coordinating with subcontractors and builders via phone, text, and email. Exceptional leadership potential and administrative skills to handle high-level managerial workflows.
