Restore Life Behavioral Health is accepting applications for an Intake Specialist. The position available is a full-time position. The position is responsible for obtaining the patient's medical history, physical and mental state, special requirements, and needs by asking them a variety of questions. The position will also be responsible for scheduling the initial session (intake) with the clinicians. The position will also provide services to patients of various backgrounds and demographics. RLBH is a private practice setting. Responsibilities and Duties Respond to prospective and new client inquiries by phone, electronic communication, and in person in a professional and compassionate manner. Guide new clients through the intake and registration process. Collect and accurately enter demographic, contact, insurance, and other required information into the electronic health record (EHR) or practice management system. Schedule initial assessments, intake appointments, and other appropriate services according to provider availability and company procedures. Ensure required intake documents, consent forms, and acknowledgments are completed before services when required. Review client records for completeness and follow up regarding missing documentation or information. Maintain accurate and timely documentation of client communications and intake activities. Coordinate with clinicians, administrative staff, billing personnel, and leadership to support an efficient intake process. Maintain client confidentiality and follow HIPAA requirements and organizational privacy and security policies. Provide clients with general information regarding office procedures, appointments, required documentation, and payment expectations within the scope of the position. Assist with additional administrative and front-office responsibilities as assigned. Insurance Verification Responsibilities The Intake Specialist must be able to complete insurance verification accurately and efficiently.
Responsibilities include:
Verify insurance eligibility and active coverage before the client's initial appointment and as required by company procedures. Contact insurance companies through payer portals, electronic verification systems, or telephone when additional verification is necessary. Verify behavioral and mental health benefits, including outpatient behavioral health coverage. Identify applicable copayments, coinsurance, deductibles, and remaining deductible amounts when available. Determine whether authorization, referral, or other payer requirements may apply to requested services. Verify whether the organization and/or provider participates with the client's insurance plan when appropriate. Document insurance verification information accurately in the client's record. Obtain and enter insurance policy information, including member ID, group number, subscriber information, and payer details. Identify discrepancies or potential coverage issues and communicate them promptly to the appropriate billing or administrative staff. Communicate available benefit information to clients professionally while avoiding guarantees of insurance payment or coverage. Work collaboratively with the billing department to resolve insurance-related intake issues.
