Serves as the first point of contact for staff, people in services, funding agency representatives and the general public. Duties include general clerical, receptionist and program based projects. This is a part time, 20-25 hour a week on-site position. Reports to the Controller / HR Manager. Maintains confidentiality of our employees and people in services according to HIPAA Picks up and distributes mail Meet and greet visitors, staff and people in services. Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, filing Answer and coordinate phone calls, write down messages and distribute. Assists in preparing the monthly company newsletter as requested. Required to take turn on after hours phone Responsible for keeping the office clean. Making sure staff cleans up after themselves and our people before leaving the office. Snow removal may be required around the office and apartments to ensure safety of customers and employees. Coordinates with vendors on hosted services to resolve problems quickly and efficiently. Performs other tasks as assigned or delegated in a timely manner. Attends Training and Communication Meeting and Leadership Meeting as required. Train and maintain knowledge using various software applications. Identify supports needed for a person to maintain and receive benefits.
- Establish and maintain relationships with Social Security, Medicaid, Medicare, HEAT program, and Food Stamps program in order to support our people.
- Develop and maintain the database with reviews, important dates, and caseworker information, including all monthly checks with reconciliations verified.
- Ensure all paperwork is filled out correctly and sent to the correct address and caseworker.
- Manage the eligibility paperwork (Social Security, Food Stamps, Medicaid, Housing - DSPD and county), working with persons and staff to be sure forms are completed correctly.
- Teach staff and the person we support to watch the mail for notices, reviews, and other correspondence and be a resource to deal with them.
- Arrange for direct deposits when applicable.
Track who is employed, who needs pay stubs turned in, how often they are paid, etc. Submit information to the appropriate agencies or track those who do this independently; also track income tax for individuals and make sure forms are completed and sent in. When the person has a Medicaid spend down, help the person in services and staff understand the process and track information for compliance. Train staff to be aware of the newest procedures and practices for maintaining financial stability. Respect the confidentiality of the agency and people we serve in providing information and teaching others. Oversee and track checking accounts and federally and agency-required documentation for those whom we are the financial payee. Any misconduct in dealing with the finances of a person in services will be reported to individual supervisors. Attend meetings as required and complete other duties as assigned. Knowledge and Skill Requirements Must be able to successfully de-escalate people with disabilities and be able to redirect them in a positive manner. Must have accounting skills, knowledge of bookkeeping, tax laws and reports. Proficiency in the use of software application, databases, spreadsheet and word processing required. Possess strong communication, appraisal, attention to detail, teamwork, and interpersonal skills, including integrity and a strong work ethic. Present an image of professionalism in all aspects of work including strict confidentiality. Basic reading, writing and mathskills are required. Knowledge of Microsoft Office and telephone protocol. Computer literate with the ability to learn new software applications. Duties require professional verbal and written communication skills and the ability to type 50 wpm. Visibility of work requires attention to detail, excellent organizational skills, and discretion with confidential information. (This is normally acquired through a combination of the completion of an Associates Degree or three to five years of experience and preference will be given to someone with these qualifications) Working conditions are normal for an office environment. Work hours are Monday - Friday 9-5:00 CPR/1st Aid Training, SOAR I Certificate. These can be obtained through Phoenix Services.
