In this role, you will serve as a critical force multiplier for our chairman, taking complete ownership of day-to-day administrative tasks to free up executive time for strategic growth. Key Responsibilities Inbox & Communication Gatekeeping:
Proactively manage, triage, and draft responses for executive email correspondence, ensuring critical matters are flagged and low-priority items are handled independently.
Complex Calendar & Schedule Management:
Coordinate overlapping meetings, prioritize scheduling requests, and aggressively protect the executive's time.
In-Office Operations & Support:
Serve as the central point of contact for the executive office, handling day-to-day workplace logistics, meeting setups, and welcoming external guests.
Administrative Ownership:
Relieve leadership of daily operational burdens by managing expense reporting, travel logistics, document preparation, and physical or digital file organization.
Priority Tracking & Project Coordination:
Maintain a bird's-eye view of active projects, follow up on action items with team members, and ensure no deadlines slip through the cracks.
Meeting Lifecycle Management:
Prepare agendas, gather briefing materials beforehand, and record action-oriented minutes during leadership meetings.
Advanced proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets) and Slack is required to keep our team seamlessly connected.
Exceptional Organizational Systems:
A proven track record of managing multiple fast-moving priorities without losing attention to detail.
Proactive Problem Solving:
