This dynamic role involves managing complex calendars, coordinating meetings and travel arrangements, handling correspondence, and providing exceptional administrative support to ensure smooth daily operations. The ideal candidate will demonstrate excellent communication skills, technical proficiency, and a keen eye for detail. Duties Manage and maintain executive calendars, scheduling meetings, appointments, and events with precision. Coordinate travel arrangements including flights, accommodations, transportation, and itineraries to optimize time and resources. Prepare and edit correspondence, reports, presentations, and other documents using Microsoft Office Suite and productivity software. Handle incoming calls via multi-line phone systems with professionalism and courtesy, directing inquiries appropriately. Organize and maintain filing systems—both electronic and physical—to ensure quick retrieval of information. Assist with data entry tasks, updating spreadsheets, databases, and records accurately and efficiently. Support client communication efforts by managing email correspondence and ensuring timely follow-up on action items. Provide front desk support by greeting visitors, managing office supplies inventory, and maintaining a welcoming environment. Utilize QuickBooks for basic bookkeeping tasks such as invoicing or expense tracking when necessary. Perform general office management duties to streamline daily operations and improve productivity. Experience Proven experience as an Executive Assistant or in a similar administrative role supporting senior management or executives. Demonstrated proficiency in Microsoft Office applications including Word, Excel (spreadsheets), PowerPoint, and Outlook. Strong computer literacy with the ability to adapt to new software tools quickly. Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting. Experience with multi-line phone systems, data entry, filing systems, and clerical procedures. Bilingual abilities are highly desirable to facilitate communication with diverse clients or team members. Prior experience in office management or administrative support roles that involved calendar management and customer service is preferred. Knowledge of QuickBooks or similar accounting software is a plus for handling basic financial tasks. Exceptional phone etiquette combined with excellent written communication skills for professional client interactions.
