  • On-site ## Overview DH DarkHaven LLC is a startup company based in Irvine, California.
We are seeking a highly organized Executive Assistant to support our CEO — someone with a strong software engineering background who can run the CEO's day with precision and also write real code. You'll work closely with the CEO and leadership team to keep daily operations and strategic initiatives on track, while spending part of your time building internal tools, automating workflows, and prototyping ideas the CEO wants tested. At a startup, your work will have a direct and visible impact on how the executive team operates. ## Duties
  • Executive support
  • Manage and coordinate the CEO's calendar, including meetings, appointments, and business travel, with precision and attention to detail
  • Handle correspondence, prepare reports, and proofread documents for accuracy and clarity
  • Organize and facilitate internal and external meetings: prepare agendas, take minutes, and distribute follow-up actions
  • Coordinate projects by tracking deadlines, managing deliverables, and liaising with cross-functional teams to keep initiatives on schedule
  • Handle confidential company and personal information with discretion and professionalism
  • Support company events, including logistics, vendor communication, and on-site coordination
  • Help with day-to-day office administration for a small team
  • Engineering
  • Build and maintain internal tools, scripts, and automations for the CEO and leadership team
  • Prototype and evaluate new ideas quickly
  • Review technical documents and proposals and summarize them for the CEO
  • Work with the engineering team to track project status and flag risks early ## Requirements
  • Legally authorized to work in the United States; DH DarkHaven LLC will not sponsor employment visas for this position, now or in the future
  • Able to program at a professional software engineer level in at least one general-purpose language (e.g., Python, JavaScript/TypeScript, Java, C++, Go), including working with APIs, version control, and debugging
  • CodeSignal assessment:

  • Excellent written and verbal communication skills, including professional phone and email etiquette
  • Strong organizational skills; able to prioritize effectively and manage multiple projects at once
  • Proficient with Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Drive), and video conferencing tools such as Zoom or Microsoft Teams
  • Demonstrated ability to handle confidential information with discretion ## Preferred qualifications
  • Experience as an executive assistant supporting C-suite executives, ideally at a technology or software company
  • Familiarity with DocuSign, QuickBooks, and project management or team communication tools (e.g., Asana, Jira, Slack)
  • Experience with event planning, business travel arrangements, and office management
  • Experience with AI tools, workflow automation, or data pipelines
