Someone with a Nursing Home Administrator license is preferred but not necessarily required. It is preferred that the candidate have a minimum of 2-3 years of experience in a key leadership role in a skilled nursing facility. Job Duties:
Administrative & Logistical Support:
Social media management (reviewing network of accounts across multiple platforms and generating comprehensive reporting). Support marketing and census development at a regional and facility level. Prepare and proofread correspondence, memos, presentations, and reports on behalf of the VP, ensuring accuracy and professional formatting. Organize and maintain confidential files and records, both physical and digital, related to facility operations, compliance. Prepare meeting agendas, gather necessary materials, record minutes, and track follow-up action items for operational meetings. Process expense reports and manage departmental invoices or orders as directed. Operational & Data Analysis Support (Leveraging NHA License): Gather, consolidate, and perform initial analysis on key operational data from facilities (e.g., census reports, staffing hours (PPD), quality measures, survey results, resident/family satisfaction scores). Prepare standardized operational performance reports and dashboards for VP review, highlighting trends, variances, and areas needing attention. Assist in tracking facility compliance with federal, state, and local regulations, including survey preparedness and Plan of Correction (POC) submissions and deadlines. Review facility-level reports or proposals (e.g., budget justifications, staffing plans) for completeness and adherence to company policy before VP review, using NHA knowledge to provide context. Assist in monitoring key performance indicators (KPIs) across the portfolio of facilities against established goals and benchmarks. Help research industry best practices, regulatory changes, or potential solutions related to operational challenges identified by the VP. Communication & Coordination (Leveraging NHA License): Serve as a knowledgeable point of contact and occasional liaison between the VP of Operations and facility Administrators, Directors of Nursing, and other facility leaders. Facilitate communication between the Operations department and other corporate support departments (e.g., Clinical Services, Finance, HR, Legal, Business Development). Assist in coordinating regional or company-wide operations meetings, calls, or training sessions. Follow up with facility leadership on behalf of the VP regarding outstanding action items, data requests, or implementation directives. Project & Compliance Support (Leveraging NHA License): Provide support for special projects initiated by the VP, such as technology implementations, process improvement initiatives, or mock surveys. Assist in the development, review, or revision of operational policies and procedures, providing input based on NHA experience and understanding of facility workflows. Help track and trend survey deficiencies and assist in aggregating data related to quality assurance and performance improvement (QAPI) initiatives. May assist in preliminary reviews of incident reports or complaints, summarizing key information for the VP.
General Duties:
Maintain strict confidentiality regarding sensitive operational, financial, and personnel information. Perform other duties as assigned by the Vice President of Operations to support the overall efficiency and effectiveness of the department.
