Executive Administrative Assistant Location:

$25-30 per hour DOE Position Overview A nonprofit organization in the East Oakland area is seeking a professional, organized, and dependable Executive Administrative Assistant to provide temporary administrative support to the senior leader. This position requires excellent judgment, discretion, communication skills, and the ability to manage multiple priorities in a busy, service-oriented environment. The ideal candidate will be comfortable interacting with non-profit leadership, staff, congregation members, community partners, and the public while handling sensitive and confidential information appropriately. Key Responsibilities Manage the manager's calendar, appointments, meetings, and scheduling requests Coordinate internal and external meetings, including preparing agendas and related materials Draft, proofread, and format correspondence, reports, presentations, announcements, and other documents Monitor and organize emails, phone calls, messages, and follow-up items Serve as a professional and welcoming point of contact for church members, visitors, vendors, and community partners Maintain confidential files, records, and sensitive communications Assist with planning church meetings, special events, community programs, and ministry activities Prepare meeting notes and track assignments, deadlines, and follow-up items Coordinate travel arrangements, speaking engagements, and community appearances, as needed Order office supplies and assist with invoices, expense reports, and basic recordkeeping Maintain organized electronic and paper filing systems Provide administrative support to church leadership and staff, as assigned Qualifications At least three years of executive, senior-level, or administrative support experience Previous experience supporting an executive, church executive, nonprofit leader, or senior management professional is preferred Strong organizational, time-management, and problem-solving skills Excellent written and verbal communication skills Ability to handle confidential and sensitive information with discretion Strong attention to detail and follow-through Ability to work independently, anticipate needs, and manage changing priorities Professional, respectful, and service-oriented approach Proficiency with Microsoft Word, Excel, Outlook, PowerPoint, and virtual meeting platforms Experience with church-management software, donor databases, or nonprofit systems is helpful but not required High school diploma or equivalent required; associate or bachelor's degree preferred Ideal Candidate The successful candidate will be calm, resourceful, dependable, and comfortable working in a faith-based nonprofit environment. This individual must be able to communicate effectively with people from diverse backgrounds and demonstrate respect for the church's mission, leadership, congregation, and community programs.
