Job Description

California Sleep Solutions is currently seeking an Executive Assistant to join our administrative team. Working under the supervision of the Operations Director, the executive assistant will be responsible for providing support to the executive staff. The executive assistant is also responsible for overseeing special projects in order to support the executive staff. The ideal candidate must be able to serve as a liaison between multiple departments, manage communication both internally and with physicians, as well as handle various long-term projects. Responsibilities include but are not limited to: Maintaining organization of highly sensitive documents Assisting with special projects and tracking to completion Drafting letters and proposals Organizing and prioritizing correspondence Arranging events, meetings, and conference calls Daily, monthly and quarterly reporting Client and physician outreach Return emails and phone calls in a timely manner General clerical support to executive staff Provide exemplary service to our patients and physicians in a helpful and timely manner Willing to work with staff members in order to complete projects and goals Be an independent worker who can analyze data, problem solve and communicate ideas to accomplish the tasks before them
Qualifications:
Ability to take initiative and work towards the completion of long-term projects Flexibility to work independently as well as part of a dynamic team Keen attention to detail as well as excellent problem-solving skills Ability to prioritize tasks and complete projects in a timely manner Stellar written and verbal communications skills Strong knowledge of Microsoft Office, Quickbooks and with an emphasis on Excel Ability to type 45 WPM and operate standard office equipment (Fax, Scanner, Computer, etc.) Knowledge of principles and practices of basic office operations
We Offer:
Full time schedule (Monday through Friday, 8:30am to 5:30pm) Medical, Dental and Vision care options Paid time off and 9 paid holidays annually
