This class is accountable for independently performing advanced-level personal and confidential secretarial assignments for the Chief Judge of the Appellate Court.
SUPERVISION RECEIVED
Receives general direction from the Chief Judge of the Appellate Court.
SUPERVISION EXERCISED
May supervise lower level staff as assigned.
EXAMPLES OF DUTIES
Performs a variety of highly complex and sensitive legal and administrative secretarial assignments which require advanced levels of accountability, problem solving and interpersonal contacts; organizes the law clerk hiring process, the preparation and distribution of documents for the court's motion conferences and permanent employee attendance records; performs special assignments and routine administrative functions; arranges appointments, meetings, conferences and travel details involving complex coordination of resources and schedules; utilizes personal computers or other electronic equipment to create, format and prepare a variety of legal documents and correspondence in accordance with established guidelines and deadlines; performs work for the Director, Appellate System as directed; screens incoming correspondence; works collaboratively with Executive Legal Assistants to the Appellate Court Judges to ensure office coverage, distribution of general office duties and timely completion of assignments; maintains confidentiality of documents; creates and maintains filing systems; organizes and prioritizes all work to meet deadlines; may make recommendations on improvements of office procedures in order to increase efficiencies; may review, coordinate and oversee work performed by lower level staff as assigned; trains new staff as assigned; performs related duties as required.
MINIMUM QUALIFICATIONS REQUIRED KNOWLEDGE, SKILLS, AND ABILITY
Considerable knowledge of legal office administration and management; considerable knowledge of proper grammar, punctuation, spelling and legal terminology; considerable knowledge of business communications; considerable interpersonal skills; considerable oral and written communication skills; considerable ability to utilize personal computers and other electronic equipment; ability to function independently; problem solving ability.
EXPERIENCE AND TRAINING
General Experience:
Six (6) years of secretarial work.
Special Experience:
Three (3) years of the General Experience must have been in a legal environment.
Substitutions Allowed:
1) College training may be substituted for the General Experience on the basis of fifteen (15) semester hours equaling one-half (1/2) year of experience to a maximum of two (2) years.
