An Executive Assistant provides skilled administrative support for a company executive or professional staff at an organization. Schedules meetings, calls and travel, manages correspondence, handles outside information requests and staff communications; may assist with preparing presentations.

We are hiring a sharp, highly organized, dependable Executive Assistant to work directly alongside our CEO and help oversee the people, departments, projects, and day-to-day operations of a growing nationwide organization. This is not a traditional receptionist or clerical assistant position, and it is not a sales position . You will work side-by-side with the CEO, learn how the different areas of the company operate, communicate with department managers, track assignments and deadlines, organize information, participate in executive-level discussions, and help ensure that priorities are being carried out throughout the organization. You are not expected to personally perform every function you oversee . Instead, you will learn enough about each area of the business to help the CEO monitor performance, maintain accountability, identify problems, and coordinate the people responsible for getting things done. Training is provided, and extensive automotive experience is not required. Your Daily Workday:
Milford, CT → Manhattan → Milford, CT Your workday begins in Milford, Connecticut . You must have reliable personal transportation to get to Milford each workday. You will park your personal vehicle there for the day. From Milford, you will accompany and assist the CEO during the commute to Manhattan in a company-provided, brand-new Range Rover with a professional driver . Because the vehicle is professionally driven, the commute is regularly used as part of the executive workday. During the drive, you may work alongside the CEO to: Review the day's priorities Discuss department performance and operational issues Review reports and correspondence Prepare for meetings Coordinate business calls Review projects and deadlines Organize assignments for managers and employees Identify matters requiring executive attention Prepare follow-up items Once in Manhattan, you will generally work alongside the CEO for approximately 7• hours at our Wall Street office•. At the conclusion of the Manhattan workday, you will accompany the CEO back to Milford in the company vehicle. Some or all of the return trip may also be used for business discussions, calls, reviewing the day's progress, planning, and preparing follow-up assignments. Once back in Milford, you will retrieve your personal vehicle. You are not expected to drive between Milford and Manhattan. Transportation for this portion of the workday is provided by the company with a professional driver. What You'll Do—
Executive Support:
You will work directly alongside the CEO and assist with: Organizing daily executive priorities Calendar and meeting coordination Preparing information for meetings and decisions Tracking projects, assignments, and deadlines Taking notes during meetings Maintaining follow-up lists and accountability systems Organizing reports, correspondence, and business information Coordinating communications between the CEO, managers, and employees Following up with employees and department leaders on outstanding assignments Helping determine which matters require immediate executive attention Handling sensitive and confidential information appropriately A major part of this position is making sure important matters do not fall through the cracks . Department & Operations Oversight Our company operates numerous businesses and departments throughout the country. You will gradually learn how these functions operate so that you can assist the CEO in overseeing them.

Your job is to understand what should be happening, who is responsible for it, whether it is getting done, and what requires the CEO's attention.

Request updates from department managers Track departmental assignments Review reports and operational information Identify missed deadlines or incomplete work Help ensure executive instructions are carried out Coordinate projects involving several departments Maintain management trackers and accountability lists Participate in management meetings Document decisions and next steps Help the CEO maintain visibility across the organization Sales Department Oversight — No Personal Selling You will assist the CEO in overseeing the company's sales organization.
This may include:
Reviewing sales activity and reports Monitoring lead and follow-up activity Communicating with sales managers Tracking sales department projects and assignments Reviewing staffing or management issues Organizing performance information for executive review Helping ensure sales managers and employees are completing assigned responsibilities You will NOT be expected to make sales calls, solicit customers, personally close deals, maintain an individual sales quota, or earn commissions. This position involves management oversight of the sales function — not personally working as a salesperson. Administrative Responsibilities Although this is primarily an executive support and oversight role, you should also be willing to learn and occasionally assist with administrative functions when necessary.

The objective is to understand them well enough to help the CEO oversee the employees and departments responsible for them . Nationwide Business Travel You must also be willing and able to accompany the CEO and/or executive team on periodic business trips throughout the United States. Advance notice will be provided for planned trips. Most trips typically last approximately 3-5 days . Occasionally, a business trip may last longer, although extended trips are generally expected to last no more than approximately two weeks at a time . Following an extended trip of approximately two weeks, you would ordinarily spend approximately the following two weeks working within the normal Connecticut/Manhattan schedule before another extended business trip.
