Job Description
The Role This is a high-impact, dual-function position supporting both transaction operations and executive leadership. You will be the operational backbone of the team—owning contract-to-close execution while ensuring leadership operates at maximum efficiency. As a Transaction Coordinator / Executive Assistant , you are not "support staff" in the traditional sense—you are a critical operator in a high-volume luxury real estate business where speed, accuracy, and discretion directly influence results. ResponsibilitiesTransaction Coordination (Primary - 60%) Manage all transactions from executed contract to closing with precision and urgency Oversee deadlines, contingencies, and contractual milestones across multiple active files Coordinate communication between agents, clients, lenders, title companies, inspectors, and attorneys Maintain complete, compliant transaction files within CRM and brokerage systems Prepare, review, and distribute contracts, disclosures, and required documentation Schedule inspections, appraisals, walkthroughs, and closings with all parties Proactively identify risks, delays, or missing items and resolve issues before they escalate Conduct final file audits and ensure seamless, error-free closings Executive Assistant (Secondary - 40%) Manage leadership calendars, scheduling, and daily prioritization Coordinate meetings, appointments, and internal/external communications Provide administrative support including reporting, document preparation, and correspondence Act as gatekeeper for communication flow, prioritizing urgency and protecting leadership time Support marketing/listing coordination and operational execution as needed Assist with travel coordination, personal task management, and ongoing operational needs Qualifications 2+ years experience as a Transaction Coordinator in real estate (luxury/high-volume preferred) Strong understanding of contracts, disclosures, timelines, and real estate compliance Prior Executive Assistant or high-level administrative support experience preferred Proven ability to manage multiple transactions simultaneously without loss of detail Exceptional organizational skills and systems-driven mindset Strong written and verbal communication skills; client-facing professionalism required Proficiency with real estate CRMs and transaction management platforms Ability to operate in a fast-paced, deadline-driven, high-accountability environment High emotional intelligence with discretion handling sensitive information Resourceful problem-solver who anticipates needs before they arise Join us if you're eager to leverage your expertise in a vibrant environment where your organizational skills and proactive attitude will make a tangible impact!
