Job Description
Manage the Principal Designer's daily calendar, appointments, and scheduling. Coordinate client meetings, presentations, Zoom meetings, and project installations. Communicate professionally with clients, vendors, builders, architects, and trade partners. Draft and manage emails, correspondence, project communications, and follow-ups. Assist with obtaining quotes, product information, custom orders, and vendor coordination. Prepare professional client presentations using Microsoft PowerPoint. Track project-related schedules, outstanding items, and follow-ups. Order and coordinate product samples, deliveries, shipping labels, and packages. Assist with event planning, RSVPs, and social media scheduling. Maintain organized project, office, and financial records. Track outgoing checks and project payments using Microsoft Excel. Maintain office supplies and ensure the studio and conference areas remain organized and professional. Provide general administrative support to the Principal Designer and design team. Provide exceptional and responsive client service. Qualifications Strong, consistent professional experience as an Executive Assistant or in a similar administrative role. Excellent organizational and time-management skills. Professional and polished verbal and written communication. Strong computer and software proficiency. Proficiency with Microsoft Outlook, Word, Excel, and PowerPoint. Ability to learn new software and office systems quickly. Strong attention to detail and follow-through. Ability to prioritize and manage multiple responsibilities independently. Experience communicating with clients, vendors, and other professionals. Interior design, architecture, construction, or other luxury-service industry experience is a plus, but not required.
