This position requires someone who can keep schedules organized, coordinate travel plans, and maintain accurate documentation in a fast-paced environment. The ideal candidate is highly detail-oriented, communicates clearly, and can manage multiple priorities while supporting project deadlines.
Responsibilities:
- Oversee the Director's schedule and coordinate multiple project calendars to keep meetings, deadlines, and priorities aligned.
- Arrange business travel by booking itineraries, confirming reservations, and ensuring plans are communicated clearly to all involved parties.
- Organize meetings by preparing schedules, confirming attendance, and supporting smooth execution of executive appointments.
- Maintain inventory records using spreadsheets and keep information updated for tracking and reporting purposes.
- Upload and organize business documents within designated software platforms to ensure records remain accessible and accurate.
- Manage incoming calls through a multi-line phone system while providing clear, courteous communication.
- Support administrative activities that help leadership stay organized and responsive in a deadline-driven setting. Requirements
- Demonstrated experience supporting executives or senior leadership in an administrative capacity.
- Strong proficiency with Microsoft Office, including Outlook for scheduling and calendar coordination.
- Ability to manage complex calendars and balance competing deadlines across multiple projects.
- Experience coordinating travel arrangements, including booking and itinerary management.
- Comfortable maintaining spreadsheets and handling detailed administrative records.
- Strong phone etiquette and confidence using multi-line phone systems.
- Strong organizational skills with a high level of accuracy and attention to detail.
