Job Summary We are seeking a dynamic and highly organized Executive Assistant to support our leadership team. This role is vital in ensuring smooth daily operations, managing schedules, coordinating communications, and handling administrative tasks with precision and professionalism. Responsibilities Manage complex calendars, schedule meetings, and coordinate appointments for executives with attention to detail and flexibility. Handle incoming calls using multi-line phone systems, screen inquiries, and direct communication effectively. Prepare, proofread, and edit correspondence, reports, presentations, and other documents with accuracy and clarity. Organize and maintain filing systems—both electronic and physical—to ensure quick retrieval of information. Assist with data entry tasks using spreadsheets and productivity software like Microsoft Office to support various projects. Provide exceptional customer service at the front desk by greeting visitors, answering questions, and maintaining a professional office environment. Support office management duties including supply ordering, invoice processing via QuickBooks, and coordinating office logistics. Facilitate communication between clients, vendors, and team members through phone conversations and email correspondence. Manage travel arrangements and prepare itineraries for executives as needed. Perform general clerical tasks such as photocopying, scanning, proofreading documents, and maintaining organized records. Skills Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) along with excellent computer literacy skills. Experience with QuickBooks accounting software for invoicing and expense tracking. Exceptional organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Excellent phone etiquette with experience managing multi-line phone systems and providing customer support. Bilingual abilities are a plus to communicate effectively with diverse clients and team members. Proven office management experience including filing systems, calendar management, and supply coordination. Sharp attention to detail for proofreading documents and data entry accuracy. Strong time management skills to handle multiple responsibilities efficiently without missing deadlines. Previous personal assistant or executive support experience is highly desirable.
