This pivotal role involves providing comprehensive administrative support to senior management, ensuring smooth daily operations and facilitating effective communication across departments. The ideal candidate will demonstrate exceptional organizational skills, technical proficiency, and the ability to manage multiple priorities efficiently. Responsibilities Manage complex calendars, schedule appointments, and coordinate meetings with attention to detail and efficiency. Handle incoming calls using multi-line phone systems, screen inquiries, and direct communications appropriately. Prepare, proofread, and edit correspondence, reports, and presentations using Microsoft Office suite and productivity software. Maintain accurate filing systems, both electronic and physical, ensuring easy retrieval of documents. Assist with data entry tasks, maintaining precise records in spreadsheets and databases. Support office management functions including supply ordering, equipment maintenance, and facility coordination. Provide exceptional customer service by addressing client inquiries promptly via phone or email. Facilitate communication between departments and external stakeholders to ensure seamless operations. Perform personal assistant duties such as travel arrangements, expense reporting, and calendar management for executives. Utilize technical skills to troubleshoot basic office equipment and software issues as needed. Skills Proven experience with office management, administrative support, or executive assistance roles. Proficiency in Microsoft Office applications including Word, Excel (spreadsheets), PowerPoint, and Outlook. Strong computer literacy with familiarity in data entry, filing systems, and productivity software. Excellent organizational skills with the ability to prioritize tasks effectively. Effective phone communication skills with knowledge of phone etiquette and multi-line phone systems. Bilingual abilities are highly desirable to support diverse client interactions. Experience with QuickBooks or similar accounting software is a plus for handling basic financial tasks. Exceptional attention to detail for proofreading documents and managing schedules accurately. Strong time management skills to meet deadlines consistently. Customer service orientation with the ability to handle inquiries professionally and courteously. Previous office experience combined with clerical experience enhances suitability for this role..
