This is a hands-on role for someone who is naturally organized, communicates well, and can keep track of multiple priorities at once. The ideal candidate is someone who notices the little things, follows up without being asked, and can help keep the owner organized while business moves quickly. The owner is managing multiple projects, clients, meetings, products, and business responsibilities at once. This position will help ensure important tasks, communications, appointments, and follow-ups don't fall through the cracks. Key Responsibilities Manage and maintain the executive's calendar, appointments, and meetings Organize and prioritize daily tasks and responsibilities Monitor and organize email correspondence and help ensure timely responses Coordinate meetings, calls, and appointments with clients, vendors, partners, and other contacts Follow up with clients, vendors, and business contacts as needed Keep track of outstanding tasks, deadlines, and follow-ups Help prepare the executive for meetings by organizing relevant information and materials Assist with organizing and maintaining business documents and files Help organize products, samples, supplies, and other business materials Assist with product-related organization and coordination for Moi Beauty and Sami Global Conduct basic research and gather information as requested Prepare documents, spreadsheets, presentations, and other business materials Assist with administrative projects and general business operations Help coordinate events, meetings, product-related activities, and other business initiatives when needed Communicate professionally with clients, vendors, partners, and team members Handle confidential and sensitive business information with discretion Identify small tasks or upcoming needs before they become problems Provide general administrative and organizational support wherever needed What We're Looking For The ideal candidate is: Extremely organized and able to manage multiple priorities Highly detail-oriented and attentive to small tasks A strong written and verbal communicator Proactive and able to work independently without constant direction Reliable, responsible, and comfortable taking ownership of tasks Comfortable working in a fast-paced, entrepreneurial environment Able to prioritize competing deadlines and adjust quickly Professional and comfortable communicating with a variety of people Trustworthy and able to maintain strict confidentiality Someone who naturally keeps track of details and makes sure things get done
Qualifications Required:
5+ years of experience in an executive assistant, administrative assistant, office manager, business assistant, or similar role Strong organizational and time-management skills Excellent written and verbal communication skills Proficiency with Microsoft Office and Google Workspace Ability to manage confidential information professionally Strong attention to detail Ability to work independently and follow through on assignments
