Expanding Organization Job Details:
We are seeking an experienced Executive Assistant to work primarily alongside our CEO while helping support our President and COO as needed. This is not a role for someone who simply waits for the next task. We are looking for someone who is organized, proactive, comfortable working with senior leadership, and naturally looks for ways to help keep things moving. The Executive Assistant will manage calendars, meetings, travel, correspondence, presentations, reports, and day-to-day administrative needs while also helping follow up on smaller projects and action items. A major part of the role will be helping our executive team stay organized, aligned, and operating within the same structure. Our company has also embraced AI tools throughout the organization, so we are looking for someone who is comfortable with technology and familiar with the capabilities of modern AI tools.
Responsibilities:
Manage the CEO's calendar, meetings, appointments, and scheduling priorities Coordinate travel arrangements, itineraries, and related logistics Provide administrative support to the CEO and additional support to the President and COO as needed Prepare correspondence, presentations, reports, meeting materials, and other documents Coordinate meetings and help ensure priorities and action items are followed through Assist with smaller projects and follow up with team members to keep initiatives moving Help maintain organization and consistency across the executive leadership team Communicate professionally with employees, clients, vendors, and other business partners Anticipate needs and proactively identify areas where executive leadership could use support Utilize AI and other technology tools to improve efficiency and streamline day-to-day tasks Handle sensitive and confidential information with discretion and professionalism
Qualifications:
Previous experience as an Executive Assistant, Administrative Assistant, or similar professional support role Experience supporting senior executives or C-suite leadership strongly preferred Highly organized with strong attention to detail and follow-through Proactive mindset with the ability to anticipate needs rather than wait for direction Strong written and verbal communication skills Comfortable managing multiple priorities in a fast-paced environment Strong computer skills and willingness to utilize new technology Familiarity with AI tools and an understanding of how they can improve productivity Professional, personable, and comfortable communicating with people at all levels of an organization Ability to handle confidential information with discretion Valid driver's license and clean driving record required for company vehicle consideration
Major Plus:
Experience directly supporting a CEO, President, COO, or multiple executives Experience coordinating executive-level meetings, travel, presentations, and projects Experience using AI tools such as Claude or similar platforms in a professional environment Experience working within construction, contracting, or another fast-paced project-based business Ready to Become a Key Part of the Executive Team?
