Executive Operations Leadership Team The Senior Executive Assistant provides primary executive support to the Chief Operating Officer while also supporting the Vice Presidents within the Operations leadership team. This role serves as the central coordination point for the Office of the COO, helping the COO and his leadership team operate as a coordinated, disciplined, and highly effective unit. In addition to traditional executive support, this position is responsible for creating operating discipline around executive priorities, meetings, commitments, and follow-through. The Senior Executive Assistant manages complex schedules, prepares executives for key meetings, tracks action items and deliverables, coordinates information across departments, and proactively identifies matters requiring the COO's attention or decision. Essential Duties and ResponsibilitiesCOO & Executive Leadership Support
- Provide primary executive support to the COO and secondary support to the Vice Presidents reporting to the COO.
- Manage complex calendars, prioritize meeting requests, resolve scheduling conflicts, and protect time around the COO's highest priorities.
- Coordinate internal and external meetings across multiple locations, including recurring leadership meetings and special initiatives.
- Coordinate executive travel, accommodations, itineraries, and related logistics.
- Draft, edit, and manage executive correspondence and communications as delegated.
- Manage executive email or correspondence when delegated and appropriately route time-sensitive matters.
- Handle highly confidential and sensitive information with discretion and sound judgment. Executive Effectiveness & Operating Rhythm
- Maintain the COO's priority list and help ensure time, meetings, and follow-up remain aligned to key operational priorities.
- Establish and maintain recurring operating rhythms for the COO and Operations leadership team.
- Prepare the COO and Vice Presidents for meetings by assembling agendas, reports, background information, decisions needed, and other relevant materials.
- Proactively identify matters requiring the COO's attention, decision, escalation, or follow-up.
- Maintain visibility into key commitments, deadlines, and deliverables across the Operations leadership team.
- Help create structure and repeatable processes that improve executive productivity and team coordination. Meeting & Follow-Through Coordination
- Coordinate COO and Operations leadership meetings, including agendas, materials, conference rooms, and virtual meeting logistics.
- Record clear meeting notes, decisions, and action items as appropriate.
- Maintain action-item and commitment logs for the COO and Operations leadership team.
- Follow up with department leaders regarding outstanding assignments and track items through resolution.
- Ensure decisions, commitments, and next steps are communicated to the appropriate stakeholders. Project & Cross-Functional Coordination
- Assist with coordinating enterprise-wide and Operations initiatives sponsored by the COO or Vice Presidents.
- Maintain project timelines, deadlines, documentation, and executive-level status updates.
- Coordinate information and communications across Clinic Operations, Human Resources, Finance, Information Technology, Compliance, Revenue Cycle, Marketing, Attorney Relations, vendors, and external business partners.
- Support special projects and executive initiatives as assigned. Executive Reporting & Document Preparation
- Prepare, edit, format, and proofread executive presentations, reports, policies and procedures, agendas, meeting minutes, memoranda, letters, organizational charts, spreadsheets, and executive summaries.
- Assist with compiling information for monthly operational reports, executive dashboards, KPI reports, quarterly business reviews, budget reports, performance scorecards, leadership presentations, and annual planning documents.
- Collect information from multiple departments and ensure executive materials are accurate, complete, concise, and professionally presented. Administrative Coordination
- Maintain organized executive files, electronic records, contracts, and important documents.
- Process expense reports and coordinate administrative logistics for the Office of the COO.
- Coordinate onboarding logistics for executive or leadership hires.
- Assist with leadership events, off-sites, and other executive meetings as needed. QualificationsEducation
- Associate's degree required.
- Bachelor's degree in Business Administration, Healthcare Administration, Communications, or a related field preferred. Experience
- 5+ years of executive administrative experience supporting senior leadership.
- Demonstrated experience supporting a senior executive while coordinating across multiple executives or department leaders.
- Experience managing complex calendars, executive communications, leadership meetings, and confidential information.
- Experience preparing executive reports, presentations, dashboards, or other leadership materials.
- Healthcare experience highly preferred, particularly within physician groups, MSOs, hospital systems, outpatient/ambulatory networks, multi-location healthcare organizations, or other regulated healthcare environments.
- Experience in a complex, multi-location organization preferred. Knowledge, Skills & Abilities
