Executive Administrative Assistant
Job Description
Job Title:
Visitor Center Administrative Assistant Reports to: CEO Job purpose: Supports the organization's role of destination marketing by assisting visitors and providing general administrative assistance to the CVB team.
Education:
High school graduate, some college. Associates degree
Position:
Full-Time (40 hours), non-exempt. Monday - Friday, and some Saturday mornings between May-Sept and possible peak season holidays
Key Responsibilities:
Assist greeting and directing visitors to Lagrange County and Shipshewana visitor attractions. Update events calendar on website utilizing software. Assist answering phones and handling walk-in visitor inquires. Handling email correspondence using Outlook. Provide CVB Director with general administrative and secretarial support Including filing, bill coding, and verifying on Quick Books. Proofreading assistance for all communications. Processing Travel Guide requests both individually and by bulk mail. Stock Travel Guides at partnerships locations requiring lifting and driving. Coordinating Travel Guide renewal and sales contracts including deposits. Placing supply orders, handling pickups and deliveries as needed. Mail deliveries and bank deposits. Creating reports as requested utilizing Excel, Word, Google Sheets, etc. Changing showcase displays. Decorating for holidays and seasonally both indoors and outdoors. Support general facility cleaning and organization as needed. All other duties as assigned.
Desired Skills and Experience:
Knowledge of Lagrange County and Shipshewana visitor attractions preferred. 3-5 year's face-to-face customer experience required. Experience using Microsoft Office Excel and Word, Outlook and Quick Books. Experience answering phones and working with computers and copiers. General administrative and secretarial support experience.
Desirable Traits:
Ability to multi-task. Ability to tolerate interruptions to work-flow in order to respond to phones and visitors. Enjoy talking to visitors. Ability to work with little direction. Ability to work with team members. Valid driver license required. Ability to sit, stand, walk, stoop and lift up to 50 pounds. Benefits:
Annual Wage:
$18.00 per hour Work shift: Monday-Friday, 9-5pm flexing time when working other hours
Benefits:
PTO of 176 hours accrued based upon time worked annually 11
Paid Holidays:
Christmas Eve & Christmas Day, New Year's Eve & New Year's Day; Thanksgiving & Friday after; Good Friday; Labor Day, Columbus Day; Memorial Day; and 4th of July
