This dynamic role provides high-level executive, operational, and personal support to the Lead Physician. The Executive & Personal Assistant functions as a trusted partner, protecting physician time, anticipating needs, and enabling strategic focus across clinical, business, and personal domains. Discretion, autonomy, and sound judgment are essential for success in this position. Executive & Physician Support Manage and optimize the physician's professional calendar including clinics, procedures, meetings, call schedules, and protected time Proactively prioritize requests, filter interruptions, and independently resolve routine matters Prepare agendas, briefing materials, and follow-up summaries for leadership, partner, and vendor meetings Draft, edit, and manage professional correspondence on behalf of the physician Track licensure, board certifications, DEA registration, malpractice requirements, and renewal deadlines Serve as primary liaison with attorneys, accountants, consultants, vendors, and referral partners Private Practice Operations & Business Support Coordinate with executive leadership to align physician priorities with daily operations Support physician involvement in business strategy, growth initiatives, branding, and service-line development Track high-level practice metrics for executive review (scheduling, capacity, productivity, initiatives) Assist with contracts, partnership documentation, and strategic planning materials Support recruitment through interview coordination, onboarding logistics, and credentialing follow-up Serve as a trusted resource for sensative personnel or operational matters Administrative & Workflow Coordination Maintain highly organized, HIPAA-compliant digital and physical filing systems Identify workflow inefficiencies impacting physician productivity or patient flow and propose improvements Coordinate across front desk, nursing, billing, lab, and clinical teams to optimize schedules Assist with preparation for audits, inspections, accreditation, or compliance reviews Oversee special projects (e.g., new services, office expansions, technology transitions) Personal Assistant & Lifestyle Support Manage personal scheduling impacting professional availability (travel, conferences, speaking engagements, vacations) Coordinate professional and personal travel, including CME-related logistics and expense tracking Assist with select non-clinical personal tasks to preserve physician focus Provide flexible support during high-demand or call-intensive periods Financial, Communication & Reputation Support Prepare and reconcile expense reports, credit card statements, and reimbursements Track CME budgets, registrations, deadlines, and documentation Assist with vendor contract renewals and relationship management Manage escalated patient concerns, special requests, and physician-facing communications Support marketing efforts, community outreach, and professional engagements Confidentiality & Professional Standards Maintain absolute confidentiality of patient, business, and personal information Ensure compliance with HIPAA, medical ethics, and practice policies Represent the physician with professionalism, discretion, and emotional intelligence Ideal Candidate Profile Exceptionally organized, proactive, and able to operate independently Comfortable shifting between executive, operational, and personal support Experienced with physician-owned or professional services environments Demonstrates a trusted-partner mindset.
