Job Description
We are seeking a highly organized, self-motivated Executive Administrative Assistant to join our team. This role is ideal for a proactive professional who thrives in a fast-paced environment and can effectively manage multiple priorities while providing exceptional administrative support. The successful candidate will possess strong organizational and communication skills, the ability to build and maintain positive relationships, and a commitment to professionalism and confidentiality. The ideal candidate is technology-savvy, comfortable using virtual meeting platforms and scheduling systems, and confident making administrative decisions in a culture that values ownership, accountability, and initiative. Key Responsibilities Coordinate and organize meetings, including scheduling, sending invitations and reminders, preparing materials, and arranging catering when necessary. Prepare agendas, attend meetings, and take accurate and detailed meeting minutes. Manage office and departmental supply orders while ensuring cost-effective purchasing practices. Provide administrative support, including drafting and editing correspondence, emails, memos, reports, and other communications on behalf of the executive team. Maintain comprehensive, accurate, and organized records and files. Perform basic accounting-related tasks, including invoice coding, expense report preparation, and charge reconciliation. Maintain an efficient filing system and ensure all pertinent operational documents are properly organized and accessible. Serve as a welcoming and professional resource for visitors. Act as a primary point of contact for internal and external stakeholders. Collaborate with the Corporate Team and facility staff to respond to requests and support organizational initiatives. Handle sensitive and confidential information with the highest level of discretion. Perform additional duties and special projects as assigned. Required Qualifications High school diploma or equivalent. Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint. Strong organizational, time management, and multitasking skills. Ability to work independently while also contributing effectively as part of a team. Excellent written and verbal communication skills. Demonstrated professionalism, discretion, and attention to detail. Preferred Associate or Bachelor's degree. Previous experience in a healthcare, hospital, behavioral health, or psychiatric setting. Experience supporting executives or senior leadership teams.
