Job Description

Position Overview The Executive Administrative Assistant plays a critical role in maintaining operational efficiency, managing priorities, coordinating internal and external communications, and supporting high-level business functions. The Executive Administrative Assistant is also responsible for ensuring clear communication between clients, the sales team, and operations team. The Executive Administrative Assistant supports scheduling, customer follow-up, internal coordination, and administrative processes while upholding the standards and reputation of Imperial Landscaping & Masonry. Primary Responsibilities 1. Customer Communication Answer inbound phone calls promptly and professionally, accurately directing and transferring callers to the appropriate department or team member. Ensure all calls are handled courteously and efficiently to provide excellent customer service. Collect and document accurate customer information. (Name, address, phone numbers, email, lead source, reason for the call) Handle initial customer concerns, escalate and direct issues to the appropriate department. (If concerns need specific attention it needs to be addressed by the appropriate professional that handles that specific area of concern) 2. Scheduling & Coordination Schedule estimates and site visits for the sales team Confirm appointments and send reminders Communicate scheduling updates to customers Coordinate with field crews and office staff as needed 3. Lead & Client Management Enter and maintain accurate records in the CRM system Support conversion follow-up efforts Maintaining organized customer files 4. Administrative Support Maintain organized digital records (Call transcripts, plans, photos, videos, etc…) Support daily office operations Maintain office supplies stocked (check supply daily) Role Expectations The Executive Assistant is expected to: Maintain a professional and courteous tone at all times Respond to customer inquiries within established company timeframes Maintain accurate and organized customer records Demonstrate reliability, punctuality, and accountability Contribute to a positive and team-oriented office environment Protect confidential company and customer information Knowledge of landscape construction, landscape maintenance, masonry, irrigation, landscape lighting Key Competencies Strong verbal and written communication Organizational and multitasking skills Attention to detail Problem-solving ability Professional phone presence Professional appearance and conduct Basic proficiency with computer systems and office software
Pay:
$18.00 - $20.00 per hour
