Job Description

Executive Assistant $70,000 Base + Up to 50% Performance Bonus, Paid Quarterly You've Built the Skills. Now You Want a Bigger Opportunity to Use Them. We are looking for an experienced Executive Assistant to join a growing family office and work directly with the founder while reporting to and working closely with our CFO. Our family office oversees several growing business units and investments across automotive retail and service, finance, capital raising, Automotive F&I, Reinsurance, franchising, real estate, and related opportunities. This role is for someone who has spent the last 5-10 years becoming very good at what they do and is ready for an environment where those skills can have a much bigger impact. Maybe you have become the person everyone depends on. You work well in high growth environments. You know how to organize complexity. You know how to follow up. You know how to manage executives, clients, investors, deadlines, projects, applications, documents, and competing priorities. Most importantly... You've been there before. But you may have reached the point where your current company no longer offers enough room to grow. We do. We are building a stronger family office structure around businesses entering an important stage of growth. We need someone who can bring experience, organization, judgment, technology, communication, and execution to the table immediately.
Your Main Responsibility is simple:
Make sure opportunities move forward and nothing important falls through the cracks, specially the founder. You will run the founder's control center and work closely with our CFO to create visibility across everything moving within the family office. At any point, you should know: Who we are waiting on Who is waiting on us What applications are outstanding What investors need follow-up What clients need support What documents are missing What meetings are coming up What decisions are needed What is overdue What has actually been completed Capital Raising & Investor Follow-Up This will be a major part of the role. You will help keep our capital-raising activity organized and moving.
You will:
Track investor and lender conversations Maintain investor and capital-raising pipelines Schedule investor meetings and follow-ups Make sure follow-up happens after every important conversation Track documents and information requested by investors and lenders Coordinate applications and diligence materials Help organize data rooms and supporting documents Keep notes and next steps current Maintain dashboards showing where every opportunity stands Identify stalled opportunities before they are forgotten Help prepare presentations, spreadsheets, and meeting materials You will not be expected to raise capital yourself. Your job is to make sure the founder can focus on relationships, negotiations, and closing opportunities while you keep the process organized behind him. Investor & Stakeholder Communications You will help make sure investors, stakeholders, and leadership stay informed. Each month, you will help prepare clear updates across the different business units.
This may include:
Monthly investor newsletters Stakeholder updates Business-unit newsletters Monthly executive briefing reports Major wins and accomplishments Important operating updates Key metrics and progress Capital and financing updates New hires and team developments Major projects and initiatives Risks, challenges, and important next steps Upcoming priorities You will work with leadership to gather the right information, organize it, and turn it into a concise, professional update.
The goal is simple:
Important stakeholders should understand what happened, what is moving, and what comes next without having to chase the information. Applications & Opportunity Tracking There are often multiple applications, transactions, relationships, and opportunities moving at the same time across the family office. You will create visibility around them.
This may include:
Financing applications Investor requests Banking relationships Real estate opportunities Business transactions Franchise opportunities Vendor applications Insurance matters Legal matters F&I opportunities Client onboarding You will track: Submitted> Waiting> Follow-Up Needed> Decision Needed> Completed Nothing should sit untouched because nobody remembered to follow up. Dashboards & Visibility A major part of this role is giving the founder and CFO clear visibility into what is happening. You will help build and maintain simple dashboards for: Capital raising Investor pipeline Applications Deals Clients Follow-ups Projects Hiring Onboarding Software implementations Training initiatives Executive commitments Monthly business-unit reporting We do not want complicated dashboards nobody uses. We want simple systems that answer: Where does this stand, who owns it, and what happens next? Client Support You will help support clients and partners across the businesses, including our F&I agency.
You will:
Coordinate client communication Track open client requests Follow up on documents Schedule meetings and training Help with onboarding Route questions to the right person Make sure clients receive responses Keep notes and next steps organized Identify issues before they become bigger problems The goal is for clients and partners to feel that things are organized and moving.
Executive Support You will manage:
Multiple executive inboxes Calendar and scheduling Meetings Follow-up Deadlines Applications and contracts Investor and lender communication Projects and special assignments Hiring and onboarding coordination Software implementation F&I agency administration Training materials Spreadsheets and presentations Confidential business and personal matters You will know what is happening, what needs to happen next, and whether it actually got completed. Travel Orchestration You will take ownership of executive travel.
That includes:
Flights Hotels Ground transportation Meeting schedules Reservations Travel documents Itineraries Calendar coordination Changes and cancellations Making sure meetings and travel time work together The goal for travel: The founder should be able to travel without personally managing the logistics around the trip. Systems, AI & Process Building We are looking for someone who thinks in systems. When you touch something, we want it to become easier to repeat, easier to train, and less dependent on one person.
You will help create:
SOPs Training manuals Checklists Reference sheets Templates Onboarding systems Workflows Tracking dashboards Knowledge libraries AI-assisted processes Automations You should be very comfortable with technology and excited about using AI and modern tools to make the family office and its businesses faster and more efficient. If you see someone doing the same thing manually over and over, your instinct should be: "There has to be a better way to do this." Then help build it. Training & Knowledge Capture A major opportunity in this role is helping us turn experience into systems. You may sit with the founder while he explains how something is done and turn that knowledge into: A written process Training material An SOP A checklist A presentation A video A reference guide A repeatable training program This is especially important across automotive, F&I, the F&I agency, onboarding, sales, client support, and other recurring business processes. The goal is to move knowledge out of people's heads and into the organization. Who We Want Ideally, you have 5-10 years of professional experience in executive support, administration, operations, legal, real estate, financial services, automotive, insurance, family office, or another demanding professional environment. Your title matters less than what you have actually accomplished.
We want someone who is:
Extremely organized Excellent at follow-up Highly dependable Discreet Proactive Tech-savvy Strong with AI Systems-minded Good with numbers Strong with Excel and Google Sheets Comfortable building dashboards Strong at written communication Comfortable preparing executive summaries and stakeholder updates Comfortable with contracts and professional documents Comfortable communicating with investors, clients, attorneys, lenders, and executives Able to operate independently Calm when many things are happening at once Willing to roll up their sleeves and get things done This Is a Role for a Doer We are not looking for someone who simply tells other people what should happen. If an investor needs follow-up, follow up. If an application is stalled, find out why. If a client is waiting, get them an answer. If a document is missing, get it. If a meeting needs to happen, schedule it. If a dashboard is outdated, update it. If investors need an update, prepare it. If leadership needs visibility, create the briefing. If a process is broken, improve it. If nobody knows how something works, document it. If technology can make it easier, find the technology. We value people who take ownership and finish what they start. How You Will Work You will work directly with the founder every day. You will report to and work closely with our CFO, who will help manage priorities, training, workload, performance, and development. This gives you direct exposure to a fast-moving founder while also giving you structure, support, and clear management within the family office. Over time, we expect you to operate with significant autonomy.
Compensation & Long-Term Growth Starting Base Salary:
$70,000 This position also offers the opportunity to earn up to 50% of base salary in annual performance bonuses, paid quarterly , based on clear goals and measurable results. That creates the opportunity to earn up to approximately $105,000 in total starting annual compensation based on performance. This is the starting compensation for the right candidate, not the ceiling for the role. The work you do will have a direct impact across the family office and its businesses. As the family office grows, we want the person in this role to grow with it. Someone who proves they can create leverage, build systems, improve execution, increase visibility, and take on greater responsibility should expect their opportunity, responsibility, and compensation to grow accordingly.
Performance goals may include:
Capital-raising pipeline management Investor follow-up Application completion and follow-up Client response and support Dashboard accuracy and visibility Monthly investor and stakeholder communications Executive briefing quality and timeliness Executive organization Completion of quarterly company priorities Systems and SOP creation Successful project completion Software implementation Training and onboarding improvements We are looking for someone who wants to build a long-term career inside a growing family office and whose value can grow alongside the organization.
