Job Description
We are seeking an experienced and highly organized Senior Executive Assistant / Administrative Assistant to provide high-level administrative and operational support to executives and leadership. This individual will serve as a key point of contact for information and communication, while managing a variety of administrative functions, confidential information, meetings, documents, and office activities. The ideal candidate is a polished professional who can work independently, exercise sound judgment, manage competing priorities, and maintain a high level of confidentiality. Strong attention to detail and the ability to anticipate the needs of executives and leadership are essential. Key Responsibilities Provide high-level administrative and executive support to senior leadership and executives. Manage day-to-day administrative activities and ensure priorities and deadlines are effectively managed. Oversee general office functions, including ordering supplies, maintaining records management systems, and assisting with basic bookkeeping and financial administration. Review and approve invoices, reports, memos, letters, financial statements, and other business documents for accuracy and completeness. Review corporate documents, records, and reports and ensure information is properly maintained and distributed. Read and analyze incoming correspondence, memos, submissions, and reports to determine their significance and appropriate distribution. Prepare agendas, meeting materials, presentations, and supporting documentation for executive, committee, board, and other meetings. Coordinate and make arrangements for meetings, conferences, and other events. Assist with event planning, budgeting, scheduling, and logistical coordination. Maintain organized and confidential files, records, and business information. Serve as a professional point of contact for internal and external stakeholders. Coordinate communications and information between executives, employees, departments, and external contacts. Track action items, follow-ups, deadlines, and other executive priorities. Prepare and edit correspondence, presentations, spreadsheets, reports, and other documents. Handle sensitive and confidential information with discretion and professionalism. Provide guidance, mentoring, and constructive feedback to administrative staff as needed. Identify administrative needs and proactively recommend improvements to processes and procedures. Perform other administrative duties and special projects as assigned. Required Skills & Qualifications 10+ years of professional administrative or executive support experience. Previous experience providing direct support to executives and/or senior leadership is required. High school diploma or GED required. Excellent verbal and written communication skills. Exceptional organizational and time-management abilities. Ability to independently manage multiple priorities and competing deadlines. Strong attention to detail and follow-through. Demonstrated ability to handle confidential and sensitive information with discretion. Strong interpersonal and customer service skills. Experience with event planning, budgeting, scheduling, and coordination. Strong leadership and mentoring abilities, including the ability to provide constructive performance feedback. Ability to exercise sound judgment and work independently with minimal supervision. Proficiency with Microsoft Office applications, including Word, Excel, and PowerPoint . Professional demeanor and the ability to interact effectively with executives, employees, clients, and other stakeholders. Ideal Candidate The successful candidate will be a seasoned administrative professional who is comfortable operating in a fast-paced environment and supporting senior-level leaders. Pay Range:
Hourly $35.00 to $38.00 We offer several comprehensive benefits package including health and life insurance, paid and unpaid time off, and retirement and savings plans to qualifying employees.
