September 25th We are seeking a reliable, detail-oriented Executive Assistant to support daily administrative and financial operations for Gibraltar Boat Yard & TowBoatUS - Detroit. The ideal candidate will be organized , professional, and comfortable handling invoicing, accounts payable, accounts receivable, payroll coordination, customer communication, and general office operations in a variable paced environment. Key Responsibilities Provide administrative and personal assistant support to the CFO, including calendar coordination, scheduling meetings, organizing documents, preparing correspondence, tracking follow-up items, and assisting with confidential financial or business-related tasks as needed. Update and maintain VOIP communications system, maintain and update customer lists; prepare and send mass communications on a regular schedule. Provide regular updates to the managing member and CFO regarding receivables, payables, payroll items, and administrative needs. Manage day-to-day office tasks including phone calls, email correspondence, filing, data entry, scheduling support, and supply coordination. Communicate professionally with customers regarding billing questions, account balances, payment status, and general marina office inquiries. Prepare, issue, and track customer invoices for marina services. Monitor outstanding balances, post customer payments, follow up on overdue accounts, maintain accurate receivables records, submit to 3rd party collection firm and file timely vessel lien documents. Review vendor invoices, verify charges, obtain approvals, schedule payments, and maintain organized payable records. Collect and review employee time records, coordinate payroll submissions, track payroll-related changes, and maintain confidentiality of employee information. Maintain accurate, organized records for billing, payments, payroll, vendor accounts, and customer account activity.
Qualifications & Competencies Required:
Experience with invoicing, accounts payable, accounts receivable, payroll processing, bookkeeping, or office administration. Strong attention to detail and accuracy with financial records and data entry. Excellent organizational skills with the ability to manage multiple priorities and deadlines. Professional communication skills for working with customers, vendors, employees, and management. Comfort using accounting software, payroll systems, Microsoft Office, email, and standard office technology. Ability to handle confidential financial and employee information with discretion.
Preferred:
Bachelor's Degree Experience in a marina, service business, construction, automotive, or other operations-based environment. Familiarity with QuickBooks Online (or similar), Constant Contact (or similar), Google Business Profile, and electronic media platforms.
Schedule, Hours, Training and Reporting:
This is a full-time, office-based position with hours determined by business needs.
