About Us Operating Engineers Local 324 JATF, Inc. is dedicated to producing, training, and supporting highly skilled, safe, and productive heavy equipment operators, technicians, and stationary engineers. Representing professionals across Michigan's construction, facility management, and environmental industries, the organization is committed to advancing workforce development, safety, and sustainable infrastructure throughout the state. Through our dedicated Career Centers, we provide rigorous hands-on instruction and industry certifications that prepare apprentices and journeymen for long-term success. Our programs emphasize safety, technical excellence, and professional growth while supporting the evolving needs of Michigan's workforce and communities. The administrative team plays an essential role in this mission by supporting leadership, staff, and members, helping ensure efficient operations, clear communication, and a professional training environment. Position Overview The Executive Administrative Assistant provides high-level administrative support to senior leadership and office staff, helping ensure smooth and efficient office operations. This role requires a proactive, organized, and detail-oriented professional who can manage multiple priorities, maintain confidentiality, and serve as a trusted resource within the organization. Key Responsibilities Serve as a primary point of contact for members, staff, and external partners. Answer and manage high-volume phone calls and emails while assisting members and guests with general inquiries. Manage calendars, schedule meetings, and coordinate appointments as assigned. Prepare, proofread, and assist with reports, correspondence, presentations, and meeting materials. Coordinate travel arrangements, itineraries, and related administrative logistics. Assist with administrative coordination of training operations, including scheduling support, member communication, and coordination with external partners. Assist with purchasing activities and help manage office supplies and inventory. Support office operations through organized filing, recordkeeping, and maintenance of physical and electronic records while ensuring accuracy and confidentiality. Perform additional administrative or operational duties as needed to support organizational priorities. Preferred Qualifications Associate's degree preferred 4+ years of administrative experience, ideally supporting executives or office operations. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams). Key Competencies High level of professionalism, reliability, discretion, and accountability. Strong organizational and time-management skills with the ability to shift priorities. Excellent written and verbal communication skills. Ability to maintain confidentiality while supporting professional and efficient office operations Detail-oriented with strong follow-through and accuracy. Proactive, self-motivated, and solutions-oriented mindset. Ability to work both independently and collaboratively in a fast-paced environment. Professional demeanor with strong interpersonal and customer-service skills. Ability to anticipate needs and support evolving organizational operations.
Pay:
