About the Role We are seeking a proactive, highly organized, and detail-oriented CEO Executive Assistant to provide comprehensive administrative and personal support to the CEO. This role is ideal for someone who thrives in a fast-paced environment, can anticipate needs before they arise, and takes pride in keeping both business and personal operations running smoothly. The ideal candidate is highly dependable, organized, discreet, and capable of managing sensitive information with professionalism. You will play a critical role in supporting the CEO's day-to-day operations by ensuring schedules, communications, documentation, and priorities remain organized and efficient. Key Responsibilities Monitor, organize, and manage incoming emails and communications on behalf of the CEO. Maintain and coordinate the CEO's professional and personal calendars, ensuring schedules remain accurate and conflict-free. Schedule and coordinate inventory shipments and logistics as needed. Develop and organize employee training plans and onboarding materials. Prepare, organize, and maintain records and documentation for newly onboarded employees. Ensure all CEO-related bills, payments, and recurring obligations are organized and paid on time. Assist with administrative tasks including document filing, data entry, proofreading, and record management. Coordinate appointments, meetings, and travel arrangements when required. Handle confidential information with discretion and professionalism. Provide operational and personal support to help maximize the CEO's efficiency and productivity. Occasionally assist with personal errands and responsibilities, including picking up or dropping off the CEO's children as needed. Qualifications & What We're Looking For 2+ years of experience in an Executive Assistant, CEO Assistant, Personal Assistant, or similar administrative support role. Exceptional organizational and multitasking abilities. Strong written and verbal communication skills. High attention to detail and ability to prioritize tasks effectively. Ability to maintain confidentiality and professionalism at all times. Comfortable managing both professional and occasional personal responsibilities.
Proficiency with:
Google Workspace Microsoft Office Suite Calendar management tools Email and document management systems QuickBooks or bookkeeping software (preferred) Self-motivated, dependable, and solution-oriented.
