Executive Assistant to the
Executive Director Job Summary:
The Executive Assistant provides high-level administrative support to the Executive Director and leadership team. This role is responsible for managing daily operations, coordinating schedules, assisting with HR and payroll functions, and ensuring smooth communication across departments. The ideal candidate is organized, detail-oriented, and able to handle confidential information with professionalism.
Key Responsibilities:
Manage and maintain calendar, meetings, and appointments Assist with employee timecards, scheduling, and payroll adjustments (ADP or similar systems) Support HR functions including onboarding, employee files, audits, and PTO tracking Coordinate communication between departments (nursing, housekeeping, maintenance, etc.) Prepare reports, documents, and correspondence as needed Assist with billing, collections, and deposit tracking Help plan and organize employee engagement and retention events Maintain office organization, supplies, and administrative systems Handle confidential information with discretion Provide general administrative support to leadership and staff
Qualifications:
Previous administrative or executive support experience preferred Strong organizational and multitasking skills Excellent communication and interpersonal skills Proficiency in Microsoft Office and payroll/HR systems (ADP preferred) Ability to work independently and prioritize tasks in a fast-paced environment High level of professionalism and confidentiality
Work Environment:
This position operates in a fast-paced assisted living environment, requiring flexibility, attention to detail, and the ability to support multiple departments.
