Job Description

Job Summary We are seeking a highly organized and proactive Executive Assistant to support our senior leadership team within the Financial Services sector. This role involves managing complex calendars, coordinating projects, handling confidential information, and providing comprehensive administrative support to ensure smooth daily operations. The ideal candidate will possess exceptional organizational skills, technical proficiency, and the ability to collaborate effectively with C-suite executives. Duties Manage and maintain executive calendars, scheduling meetings, appointments, and business travel arrangements with precision using Microsoft Outlook Calendar and other productivity software. Provide comprehensive administrative support including drafting correspondence, proofreading documents, transcribing meetings, and handling internal communications. Coordinate projects by organizing meetings, preparing agendas, tracking deadlines, and ensuring timely completion of tasks. Facilitate event planning for corporate functions and client engagements, including venue arrangements, catering, and logistics. Handle bookkeeping tasks such as data entry in QuickBooks, managing invoices, processing payments via DocuSign or wire transfers, and maintaining accurate financial records. Oversee office management duties including filing systems, front desk responsibilities, multi-line phone systems management, and maintaining office supplies. Assist with business travel arrangements by booking accommodations, transportation, and preparing itineraries. Support internal communication efforts across departments to promote collaboration and information flow. Maintain confidentiality when handling sensitive information related to clients and company operations. Utilize video conferencing software for virtual meetings and ensure seamless remote communication. Skills Proven experience as an executive assistant or personal assistant within a financial or corporate environment. Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), productivity software, and technical tools such as QuickBooks and DocuSign. Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced setting. Exceptional typing speed combined with strong proofreading and transcription abilities. Effective project coordination skills with attention to detail and deadlines. Superior communication skills including phone etiquette and professional internal correspondence. Ability to manage multiple calendars simultaneously while maintaining accuracy. Experience in event planning and organizing large or small corporate events. Knowledge of office management procedures including filing systems and customer service protocols. Demonstrated ability to handle confidential information discreetly with integrity. Pay:
$65,000.00 - $70,000.00 per year
