Job Description
Executive Assistant (Mandarin/English Bilingual)Position Overview We are seeking a highly organized, proactive, and bilingual Executive Assistant (Mandarin/English) to support senior leadership, including senior leadership and General Manager. This role is critical in ensuring seamless communication, efficient scheduling, and streamlined operations across leadership teams. The ideal candidate will serve as a trusted and confidential partner, providing executive-level administrative support, interpretation, and document translation services. Key ResponsibilitiesExecutive Support & Calendar Management Manage and optimize complex calendars for leadership and General Manager, ensuring efficient time allocation and prioritization. Coordinate meetings, appointments, travel, and logistics with attention to detail and minimal disruption. Anticipate scheduling conflicts and proactively resolve them to support business priorities. Prepare agendas, materials, and follow-up actions for meetings. Interpretation & Communication Provide real-time interpretation (Mandarin ↔ English) during meetings, calls, and business interactions. Facilitate clear and accurate communication between English- and Mandarin-speaking stakeholders. Support cross-cultural communication and ensure intent, tone, and meaning are accurately conveyed. Document Preparation & Translation Translate business documents, presentations, emails, and reports between Mandarin and English with high accuracy and cultural sensitivity. Draft, edit, and format executive communications, ensuring clarity, professionalism, and consistency. Maintain consistency in terminology and messaging across translated materials. Administrative & Operational Support Prepare reports, presentations, and briefing materials for leadership. Handle sensitive and confidential information with the utmost discretion. Coordinate with internal departments and external partners to support executive initiatives. Manage expense reports, travel arrangements, and other administrative tasks. Process Improvement & Streamlining Identify opportunities to improve calendar management, communication flow, and administrative processes. Implement tools and systems to enhance efficiency and reduce administrative burden on executives. Support standardization of workflows, especially for bilingual communications and documentation. QualificationsRequired Fluent in both Mandarin and English (spoken and written). Proven experience as an Executive Assistant or in a similar high-level administrative role. Strong interpretation and translation skills with attention to nuance and accuracy. Exceptional organizational and time-management abilities. Ability to manage multiple priorities in a fast-paced environment. High level of professionalism, discretion, and confidentiality. Preferred Experience supporting leadership teams. Background in corporate, multinational, or cross-border environments. Familiarity with calendar management tools and collaboration platforms. Experience translating business, HR, or corporate communications.
