Job Description

Rider University invites applications for a part-time Executive Assistant. Reporting to the Vice President of Community Engagement and Belonging, the Executive Assistant will provide highly diversified, complex and confidential support. The Executive Assistant will manage office operations for the Center for Community + Belonging and the Institute for Economic and Community Impact.
Key Responsibilities:
Prioritize and oversee workflow to assure deadlines are met. Draft routine correspondence; type and proofread various communications and reports; create forms to collect information. Coordinate meetings and workshops for various audiences. Make travel arrangements. Work includes scheduling and managing various calendars, facilitating room reservations and set-up including technology, preparing appropriate materials, and communicating logistics with relevant stakeholders. Review fiscal records utilizing Banner software system, track expenditures on a spreadsheet, monitor expenditures and provide quarterly updates on budget status to Vice President. Maintain appropriate receipts and paperwork in office and as required by Business & Finance. Reconcile all credit card charges on a monthly basis. Assist with developing agendas, reports and meeting materials for the relevant Committee of the Board of Trustees. Attend meetings, draft and distribute minutes. Provide administrative support for University-wide committees that the Vice President will chair or engage with, scheduling meetings and coordinating relevant preparatory materials. Associate's degree with 5+ years commensurate experience with increasing responsibilities. Possess high levels of independent judgment, personal initiative, organizational skills and ability to manage confidentiality. Excellent interpersonal skills and ability to write with appropriate grammar, spelling and composition. Strong time management skills, with the ability to prioritize and perform multiple tasks. Familiarity with the city layout and economic and cultural aspects of the city of Trenton, NJ. Willingness to co-locate between Rider University's Lawrenceville campus and workspace in Trenton, NJ. Excellent technology and PC skills, including advanced word processing utilizing Microsoft Word, Excel, PowerPoint as well as Google suite of products. Ability to learn new software tools (e.g. Banner, MailChimp). Ability to perform mail merge and perform basic design elements. Satisfactory background and/or DMV checks required.
