Executive Assistant to Owner (Full-Time) ATC Rug Washing & Specialty Cleaning | Farmingdale, NY | On-site Full-time from day one | 40 hours per week 5 days/week on-site + one Saturday morning per month during busy season + bi-weekly off-site working meeting We're hiring an Executive Assistant — reporting directly to the owner of a growing multi-brand services business on Long Island. About us ATC is a third-generation family business on Long Island. We've been cleaning offices since 1978, and in 2022 we launched a dedicated rug washing and specialty textile care division that's now generating over $1M in annual revenue in its fourth year. We're not slowing down. ATC is led by Pat Santoro Jr., a sales and marketing operator by background who runs the company's advertising, CRM, content, and most of its customer acquisition himself. Under his leadership, ATC has grown to approximately 225,000 followers across its social media channels. Alongside ATC, Pat is building two brand-new ventures: TCREI (a textile-cleaning education institute currently in early launch) and Blue Collar Marketing Agency (a marketing agency for service-based businesses, also in its infancy). ATC is the mature business — TCREI and BCMA are still being built out. Pat runs all three, and he's looking for someone to help him actually run all three. The schedule This is an on-site role in Farmingdale, NY.
Full-time schedule:
Full-time from day one, 40 hours/week, 5 days on-site
Saturdays:
One Saturday per month, 9am-1pm, during our spring-fall busy season (approximately 6-8 Saturdays per year). Winter months are Monday-Friday only. Saturday hours are compensated at overtime rate.
Standing off-site working meeting:
Every other week, the EA and the owner will get out of the office for a working lunch or dinner (roughly 90 minutes, restaurant near the office) to review the business, talk through what's working and what isn't, and give themselves the space to actually think. This is paid work time, not a social obligation. The role This is not a traditional Executive Assistant job. Yes — you'll manage a calendar, triage emails, and prep meetings. But you'll also: Be the execution layer behind the owner's book of business. The owner is out in the field constantly — networking events, client visits, industry conferences, referral partner meetings. He generates the relationships; you keep them warm. That means sending follow-ups, scheduling calls, logging touchpoints in GHL, and making sure warm relationships don't go cold because life got busy. You'll write these follow-ups as yourself, representing the owner and the business — not pretending to be him. Own accounts receivable — chasing invoices, following up on aging balances, and keeping our cash flow tight Manage day-to-day execution across our sales department, working directly with the owner, who leads sales. Keep the team accountable to agreed priorities, track activity and follow-ups, and flag results, blockers, and next steps. Support our janitorial operations and routine office administration, including monthly billing, bank runs, approved bill payments, filing, and keeping employee and safety paperwork organized and current. Support lead source tracking and channel profitability analysis. You'll help keep GHL lead source tagging clean, pull cross-channel reports (Meta, Google, referrals, organic), and support the owner's ongoing analysis of customer acquisition cost and lifetime value by source. Handle booking calls for our new Healthy Home Report inspection program — calling pre-qualified leads (screened by our team) to schedule in-home Healthy Home audits, which the owner or an ATC technician conducts on-site Coordinate travel for the owner — flights, hotels, ground transportation, and itineraries for business trips, industry conferences, and client visits Support the marketing calendar and reporting — keeping track of when things ship (ads, content, campaigns), pulling weekly performance reports from Meta, Google Ads, GHL, and Jobber, and organizing our marketing data so the owner can review it quickly. Prep and eventually lead our Monday team meetings on the owner's behalf as you learn the business Be the traffic control for everything that lands on the owner's desk Be the owner's eyes and ears when he's out of the office. You'll notice what's happening across the team, on customer calls, and in the office — and surface what matters before it becomes a problem. This role runs on trust, and part of that trust is you telling the owner what he needs to know, not just what he asks about. Manage the owner's calendar across three businesses, with heavy focus on protecting his time and scheduling networking, referrals, and high-net-worth client meetings Handle scheduling and email coordination for TCREI cofounder communications and Blue Collar Marketing Agency clients Send a daily close-of-day recap to the owner AND a weekly operations digest every Friday — covering completed work, key metrics (bookings, AR, reviews, marketing calendar), blockers, and next-week priorities. Formats will be refined together in the first 60 days. Build and document SOPs as you learn our systems — including helping shape the booking script, follow-up cadence, and GHL workflows for our new Healthy Home Report program Anything else that lands on the owner's plate that shouldn't be there. Who we're looking for Non-negotiables You're available in person, 5 days a week, in Farmingdale. One Saturday morning per month during busy season (6-8 total per year) is part of the role. You're comfortable on the phone. You're perceptive and self-directed. You write well and adapt your tone to the audience. A residential rug customer, a nonprofit cofounder, a designer, and a blue-collar business owner all get emails from you at different times — and each one should feel like it was written for them. Not templated, not stiff, not generic. You have a growth mindset. You're a team player, not a gatekeeper. When the Office Manager or Client Care Coordinator needs a hand on the office side — a customer follow-up, a scheduling assist, an AR call — you jump in. You're an owner's EA, but you're also part of the office team. You're discreet. You'll see sensitive information across three businesses. You're obsessed with the details. Wrong names, wrong times, and typos are not survivable in this seat. You're comfortable with technology. You're willing to learn our stack (GoHighLevel CRM, Jobber, QuickBooks). Strong pluses Prior EA or operations coordinator experience for a small-business owner or founder Experience in field service, home services, or a similar operator-driven business Bookkeeping familiarity (accounts receivable is a real part of this role) Interest in marketing analytics — you don't need to be a data analyst, but you should get excited (or at least intrigued) by questions like "which lead source actually makes us the most money after we account for cost per lead and job value?"
