Full Job Description Executive Assistant and Event Coordinator Location:
Portland, OR, onsite
Hours:
40 hours per week Our innovative client designs and builds advanced baseball training machines used by players and teams looking to elevate performance. We're a hands-on, fast-moving company where precision, organization, and follow-through matter. What You'll Do Manage calendars, scheduling, and internal coordination Handle email communication and basic correspondence Coordinate Travel arrangements for key personnel and sales meetings Maintain files, documents, and internal records Assist leadership with day-to-day administrative needs Plan and coordinate event logistics (booth setup, materials, schedules) Manage shipping of equipment, displays, and promotional items Order and organize event materials (tables, signage, swag, etc.) What We're Looking For 5+ years of administrative or office support experience, including event or meeting management Highly organized with strong attention to detail Strong written and verbal communication skills Comfortable juggling multiple priorities Proficient in Microsoft Office / Google Workspace Self-starter who works well independently Ability to travel and work flexible hours around events Hands-on mindset—willing to jump in and get things done onsite Strong communication with vendor coordination skills This role is in office with some flexibility for remote work on occasion.
