Position Type:
Full-Time Schedule & Conditions:
(1) 8:00 to 4:30 PM Monday through Friday 8 hours/day, 40 hours/week Work performed indoors in an office setting About the Role The Municipal Authority of Westmoreland County is seeking a highly trustworthy and organized Executive Administrative Assistant to provide executive-level administrative support to senior leadership. This role is critical for maintaining the integrity and efficiency of municipal operations, requiring discretion, attention to detail, and a strong understanding of municipal governance. Key Responsibilities Provide confidential administrative support to senior management Manage calendars, schedule meetings, and organize events Prepare, proofread, and distribute correspondence, reports, agendas, and meeting minutes Maintain efficient filing systems for confidential records, contracts, and legal documents Assist with budget planning, expenditure controls, and tracking expenses Handle and safeguard sensitive information related to personnel, negotiations, and legal matters Ensure compliance with municipal, state, and federal regulations regarding records management and reporting Prepare and file required forms and reports for government agencies and insurance carriers Respond to inquiries, complaints, and requests from officials and the public, referring matters as appropriate Organize and maintain records of Authority meetings, resolutions, and official documents Assist in the preparation and posting of legal notices, newsletters, and updates to the Authority website File and record Rights of Way and Easements with county courthouse Establish and implement office procedures to maintain efficient workflow Order and manage office supplies and equipment inventory Train and provide direction to clerical staff as needed Qualifications 3+ Years experience in an executive assistant role, preferably within a municipal authority or government agency Strong knowledge of municipal operations, office management, and regulatory compliance Excellent organizational, communication, and time-management skills Proficiency in office software (Microsoft Office 365) and modern records management systems Ability to exercise independent judgment, maintain confidentiality, and work under pressure High school diploma required; post-secondary education or certification in office administration preferred Desired Attributes / Skills Integrity, discretion, and professionalism Attention to detail and accuracy Ability to work collaboratively as part of a team and independently Familiarity with municipal codes, ordinances, and public meeting procedures Strong computer and typing skills; ability to manage multiple tasks and stay organized; basic math proficiency; clear communication and sound problem‑solving. Able to stay calm and organized in high-pressure situations Comfortable working independently Tech-savvy and capable of learning multiple software systems Detail-oriented and reliable with excellent communication skills Why Join MAWC?
