This vital role combines comprehensive executive support with construction office management, ensuring smooth daily operations and seamless coordination between the office, field teams, vendors, and subcontractors. The ideal candidate will be proactive, detail-oriented, and possess exceptional communication skills, ready to handle a variety of administrative tasks in a fast-paced construction environment. Your energetic approach will help foster a productive and well-organized office while supporting project and leadership success. Duties Provide executive administrative support by preparing reports, correspondence, and presentations with accuracy, including proofreading and transcription. Perform data entry, filing, and bookkeeping tasks to maintain accurate financial and project records. Order and track office and jobsite supplies, coordinating deliveries to ensure projects stay on schedule. Answer calls and emails, and communicate effectively with team members, vendors, clients, and subcontractors. Assist with project-related administrative tasks such as document management, permits, and contract coordination. Support executives with personal and professional tasks as needed, acting as a reliable assistant to facilitate daily operations. Qualifications Previous office administration, executive assistant, or construction office experience preferred. Familiarity with construction processes, terminology, or project coordination is a strong plus. Strong organizational skills and attention to detail, especially in managing multiple projects and deadlines. Excellent written and verbal communication skills, with strong proofreading abilities. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and data entry systems. Experience using QuickBooks or similar bookkeeping systems. You'll play a critical role in keeping our construction office running efficiently while supporting the coordination needed to move projects forward from planning through completion.
